Summary

**Job Title:** Operations Manager / Systems Architect for Virtual Assistant Team & Personal Workflow Optimization

**Job Description:**

I’m looking for an experienced Operations Manager or Systems Architect to help me streamline and manage both my business and personal operations. This role will focus on overseeing a team of virtual assistants while designing and implementing efficient digital systems for task management, information flow, and overall productivity.

This is a long-term collaboration for someone who thrives on creating order, building scalable systems, and improving how work gets done.

**Key Responsibilities:**

* Manage and coordinate a team of virtual assistants (hiring, onboarding, training, and ongoing supervision)
* Design and implement efficient workflows for both business and personal tasks
* Build and optimize systems for task tracking, documentation, and information management
* Create clear SOPs (Standard Operating Procedures) to ensure consistency and scalability
* Identify inefficiencies and proactively suggest improvements
* Ensure smooth communication and task flow across all areas of work
* Integrate and manage tools (e.g., project management software, automation tools, knowledge bases)

**Ideal Candidate:**

* Proven experience managing remote teams, especially virtual assistants
* Strong background in operations, systems design, or workflow optimization
* Highly organized, detail-oriented, and proactive
* Skilled in tools like Notion, ClickUp, Asana, Airtable, Zapier, or similar platforms
* Excellent communication skills and ability to translate complexity into simple systems
* Comfortable working across both business and personal task management contexts
* Problem-solver with a systems-thinking mindset

**Nice to Have:**

* Experience supporting entrepreneurs or small business owners
* Familiarity with automation and AI tools
* Ability to balance structure with flexibility in dynamic environments
