Fractional Finance Lead — Books Cleanup, Financial Model & Ongoing Advisory
(High-Ticket Info Product / Coaching Business)
Phase 1 + 2: Fixed price | Phase 3: ~$1,200/month retainer | Long-term role
???? Note: This role requires working across US time zones with occasional EU overlap. Philippines-based applicants with experience in US-based online coaching businesses are strongly preferred.
HARD FILTER — READ BEFORE APPLYING
You must have direct hands-on experience working with high-ticket info product, coaching, or creator economy businesses. Not SaaS. Not e-commerce. Not traditional agency. Specifically the high-ticket online coaching world. If you've never built a financial model or cleaned books for a coaching or info product business doing $1M+ ARR, please do not apply.
ABOUT US
We're a high-ticket coaching and info product business in the creator economy doing $100K–$160K/month in revenue. We sell a tiered accelerator program (Accelerator ? VIP ? Elite), continuation offers, and a low-ticket community that funnels into high-ticket. We're scaling fast — but we're making every decision from gut feel and Slack panic instead of clean data. We need someone who can build the financial clarity we need to scale, then stay on as our fractional finance advisor.
YOU NEED TO ALREADY UNDERSTAND — WITHOUT US EXPLAINING
? Webinar ? application ? high-ticket sales funnel economics
? The cash flow gap between pay-in-full, external financing (Affirm/Klarna), and internal payment plans
? Processor holds, reserves, and chargeback reserves on Stripe and PayPal
? LTV mechanics across front-end and continuation/backend offers
? How to model a coaching team's capacity vs. revenue per coach
? The lag between hiring a sales, marketing, or coaching role and when they generate return
THE WORK — THREE PHASES
PHASE 1 — Books cleanup (one-time)
- Migrate from QuickBooks to Xero
- Reconcile and clean books from August 2025 to current
- Set up tracking categories to separate our coaching business from a small legacy video production line on the same entity
- Deliver a clean accrual P&L and cash flow showing actual historical profitability
- Accounts: Chase (primary), Bank of America (legacy), AmEx, Stripe, PayPal, Fundbases, WAP
PHASE 2 — Financial model build (one-time)
- Assumptions tab: LTV, customers per offer tier, PIF vs payment plan mix, processor fees, gross margin, continuation offer attach rate, low-ticket ? high-ticket conversion
- Headcount tab: plug in any new hire and immediately see P&L and cash flow impact, with realistic ramp time modelled before they generate return
- Overhead tab: software subscriptions and recurring fixed costs
- 2–3 year monthly P&L with quarterly and annual rollups
- Monthly cash flow (weekly during tight stretches)
- Clean enough that a non-finance founder can toggle assumptions and instantly see the impact
PHASE 3 — Ongoing fractional advisor (~$1,200/month)
- Maintain and update the model as the business changes
- Advise on hiring, pricing, offer structure, and scaling decisions
- Regular working sessions (monthly or bi-weekly cadence TBD)
- Coordinate with our US-based tax preparer at year-end
- Available for ad-hoc strategic finance questions
WHAT SUCCESS LOOKS LIKE IN 90 DAYS
? Clean Xero books from August 2025 to current
? We know exactly how profitable we've been, month by month
? A working financial model driving every hiring and scaling decision
? Zero decisions from gut feel — everything comes from data
