We're a US-based promotional products company looking for a detail-obsessed Lead & Client Communications Coordinator to own our top-of-funnel and client follow-through.
This is NOT a passive data entry role. You'll be the person who makes sure no lead, task, or client touchpoint slips through the cracks. If you love checklists, clean CRMs, and sending things on time, keep reading.
What you'll do day-to-day:
Review our lead system (Instantly) every morning — flag, route, and respond to new inbound activity
Maintain Pipedrive: create follow-up tasks, update next steps, keep the pipeline clean
Coordinate our sample box workflow — enter shipping info into a Google Sheet, send sample box
Run thank-you package mailings and post-order feedback
Draft our monthly newsletter and one monthly LinkedIn post (for review, not posting independently)
Pay supplier bills in QuickBooks Online when needed to keep production moving
Inbox triage and routing in Google Workspace
Tools you'll work in daily:
Pipedrive, Instantly, Google Workspace (Gmail, Drive, Sheets), QuickBooks Online, Trello, Plann
You're a fit if you have:
2+ years experience with a CRM (Pipedrive strongly preferred; HubSpot or Salesforce experience transfers)
Experience with cold
Excellent written English — you'll be proofing ai written
Obsessive follow-through. Tasks don't get "lost" with you.
Comfort with QuickBooks Online basics (reviewing past client history)
Schedule: 40 hours/week, with 10 hours overlap with US Eastern Time (9am–5pm EST).
Pay: $5.62/hour to start, with a review at 90 days.
Finalists will be invited to a paid 2-hour test task before any hiring decision is made.
