Job Title:

Bookkeeper & Payroll Specialist (QuickBooks + Tax Support)

Job Overview:

We are a growing healthcare company seeking a reliable and detail-oriented Bookkeeper & Payroll Specialist to manage our financial records, maintain accurate reporting, and ensure timely payroll processing.

This role is essential to maintaining financial integrity as we scale. The ideal candidate is experienced in QuickBooks, understands U.S.-based accounting practices, and can confidently support tax preparation and compliance.

Key Responsibilities:

Bookkeeping & Financial Management

Maintain accurate and up-to-date financial records in QuickBooks
Categorize transactions correctly (income, expenses, transfers, etc.)
Reconcile bank and credit card accounts daily
Clean up and organize existing books
Track accounts payable and receivable

Payroll Management

Process payroll biweekly accurately and on time
Ensure all payroll records are properly documented
Coordinate with leadership to confirm hours, pay rates, and adjustments
Assist with contractor vs. employee tracking (1099 vs W-2 awareness preferred)

Tax & Compliance Support

Prepare financial reports needed for tax filing
Ensure compliance with basic U.S. accounting and payroll standards

Reporting & Communication

Provide weekly or biweekly financial summaries
Flag discrepancies, unusual transactions, or financial concerns
Maintain organized financial systems and documentation

Requirements:
Strong experience with QuickBooks (REQUIRED)
Proven bookkeeping and accounting experience
Understanding of U.S. payroll processes
Experience supporting tax preparation
High attention to detail and accuracy
Strong communication skills
Ability to work independently and meet deadlines

Preferred Qualifications:
Experience with U.S.-based healthcare or service businesses
Familiarity with QUICKBOOKS
Experience cleaning up disorganized books
Basic understanding of tax compliance

Work Details:
Remote position (must have reliable internet)
Part-time to start, with opportunity to grow into full-time
Biweekly payroll responsibility is required
Flexible hours, but must meet deadlines
