About Us:
We are a US-based Point of Sale dealership supporting 500+ restaurant clients. We're looking for a sharp, organized VA to own our client account administration so our team can focus on growth.
Role Overview:
You will be the operational backbone of our client accounts, managing our CRM, processing billing and refund requests, handling chargebacks, and ensuring open tickets are moving toward resolution. You are the person who makes sure nothing falls through the cracks.
Responsibilities:
- Manage and update client records in CRM
- Process billing inquiries, refund requests, and account adjustments
- Manage transaction documentation and follow-up
- Work the tickets queue, follow up on open cases and move them to resolution
- Send client-facing
- Escalate complex issues to the owner with a clear summary of the situation
- Assist with monthly billing reviews and reporting
- Inbound answering phone calls from clients
- Outbound calls to both clients and our vendors
Requirements:
- Strong written English — you will be communicating directly with US restaurant owners
- Highly organized with strong attention to detail
- Experience with CRM software (HubSpot experience is a strong plus)
- Comfortable handling financial and billing information responsibly
