JOB OVERVIEW

We are looking for an AI Automation Specialist to build systems that organize and automate our business operations across multiple companies, including real estate, property management, and service businesses.

Excellent written and spoken English is required. You must be able to clearly explain technical concepts and communicate professionally with a U.S.-based business owner.

This role focuses on using AI (ChatGPT/OpenAI) together with tools like Zapier or ---------- to reduce manual work and create efficient workflows.

Responsibilities include:

Building an AI-powered inbox system that reads, classifies, and routes emails automatically
Extracting data from emails (leads, invoices, receipts) and sending it to the correct systems or tea ---------- mbers
Automatically saving and organizing email attachments into Google Drive or OneDrive
Identifying real estate leads from emails and texts and entering them into our CRM (Moxi Engage or similar)
Routing tasks, documents, and communications to the appropriate assistants
Creating workflows with filters, routers, and multi-step logic
Continuously improving systems to reduce manual work and increase efficiency

The goal of this role is to replace repetitive tasks and decision-making with AI-driven systems.

Requirements:

Experience with Zapier and/or ----------
Experience using ChatGPT/OpenAI within automations
Strong understanding of workflow logic and process automation
Ability to extract and structure data from unstructured inputs (emails, messages)
Experience with Google Workspace or Microsoft 365

2–4 years experience building automation workflows using tools like Zapier or ---------- , including experience using AI (ChatGPT/OpenAI) to classify, extract, and route data. This is not a basic VA role. We are looking for someone who can think in systems and build automations that handle real business operations.
