Project Management & Estimating (High-End Residential Construction)
Overview
We are seeking a highly organised and detail-oriented Virtual Assistant to support the delivery of high-end residential construction projects. This role combines project management support, estimating, and client-facing reporting. You will work closely with the director and onsite teams to ensure projects are well-coordinated, financially tracked, and professionally presented.
This is a critical role requiring strong communication skills, construction knowledge (preferred), and the ability to manage multiple moving parts across several projects.
Key Responsibilities
Project Management Support
Create and maintain Gantt charts and project schedules
Track project timelines, milestones, and deliverables
Maintain daily logs based on site updates
Prepare and distribute weekly project reports for both internal use and clients
Monitor project progress and flag delays, risks, or issues proactively
Maintain accurate project documentation within Wunderbuild
Client & Director Reporting
Provide clear, concise weekly updates to clients
Prepare internal reports for the director, including:
Project status summaries
Budget tracking updates
Key risks and action items
Ensure all communication is professional and aligned with a high-end brand
Procurement & Coordination
Prepare and issue purchase orders (POs)
Coordinate with:
Site foremen
Subcontractors
Suppliers
Track orders, deliveries, and ensure alignment with project schedules
Follow up on outstanding items to avoid delays
Financial Tracking (WIPs)
Maintain and update Work In Progress (WIP) reports
Track committed vs actual costs
Assist in identifying cost overruns and budget variances
Ensure financial data in Wunderbuild is accurate and up to date
Estimating & Quoting
Assist in quoting new projects, including:
Gathering supplier and subcontractor pricing
Preparing cost breakdowns
Compile quotes into professional, client-ready presentations
Ensure all quotes are clear, accurate, and aligned with company standards
Maintain a database of historical pricing for future use
Systems & Tools
Operate and manage workflows within Wunderbuild
Maintain organised digital filing systems
Improve and streamline internal processes where possible
Skills & Experience Required
Essential
Proven experience as a Virtual Assistant, Project Coordinator, or Project Manager
Strong organisational and time management skills
Excellent written and verbal communication
High attention to detail and accuracy
Ability to manage multiple projects simultaneously
Proficiency in:
Project scheduling tools (Gantt charts)
Microsoft Office / Google Workspace
Presentation tools (PowerPoint, Canva, or similar)
Highly Desirable
Experience in residential construction (preferably high-end projects)
Familiarity with Wunderbuild or similar construction management software
Experience with estimating and quoting
Understanding of construction workflows, trades, and terminology
