The Project Administrator & Assistant is responsible for supporting the efficient planning, coordination, support and delivery of projects. This role ensures that projects are executed in accordance with company standards, client expectations, and operational requirements.
Working closely with internal departments, field teams, subcontractors, and clients, the position plays a key role in maintaining accurate documentation, supporting the coordination of resources, and facilitating clear communication throughout all stages of the project lifecycle.
This role requires strong organisational skills, attention to detail, and the ability to perform in a fast-paced, dynamic environment.
Key Responsibilities:
• Create and set up new projects in internal systems accurately and in a timely manner
• Ensure all project details, scopes, client information, and job data are correctly entered
• Maintain and continuously update project files to reflect current status and changes
• Ensure all required documentation is uploaded, stored, and easily accessible
• Assisting the implementation of projects, including client and customer communications, coordination of field staff and trades, and collecting field data from trades and staff.
• Tracking projects to ensure they continually address defined objectives and produce the committed deliverables.
• Compiling results and producing project reports, including outcomes and progress of works and communicating these with the customers and the clients daily.
• Coordination for the delivery of services effectively and efficiently.
• Maintaining communication logs for all project-related correspondence
• Support Estimators/Supervisors with cross-service integration efforts to achieve a seamless client experience.
• Assist in maintaining positive client and customer relations throughout all project phases.
• Assist in the evaluation and solution of potential field problems, escalating them to the Project Coordinator Team Leader if necessary.
• Development of costings associated with new internal projects
• Assist in scope analysis to provide clear, documented, and coordinated interpretations to the field teams
• Conduct quality control activities of field work, your reports, etc and ensure your KPIs are met.
• Ensure all projects are updated and accurately created, produced, and generate documents.
• Coordinate and participate in an ongoing project, research, and analysis on cost in relation to workforce management are being captured effectively
• Assist with field staff requests to resolve field issues.
• Scheduling field staff and trades and tracking all assigned projects to ensure they continually address defined objectives and produce the committed deliverables.
