Job Title:** GoHighLevel & Apollo Campaign Virtual Assistant (PH-Based, Remote)

Type:** Full-time, Remote (Philippines)
Compensation Range:**
- Trial month-to-month: 900–1,200 USD/month
- Strong month-to-month: 1,200–1,500 USD/month
- Long-term contract: 1,300–1,700 USD/month
- Permanent hire with team-lead path: 1,600–2,200 USD/month

About Alchemy Flow

Alchemy Flow builds AI-powered revenue systems for service businesses. A key part of our delivery is an AI voice agent that answers inbound calls, makes outbound calls, schedules appointments, handles FAQs, and coordinates with human tea ---------- mbers when needed.

This role owns the execution around that system: campaigns, data, CRM, and call workflows.

Role Summary

You will be the GoHighLevel and Apollo Campaign Virtual Assistant for Alchemy Flow. Your primary responsibilities are to pull and clean prospect lists, build and manage campaigns in GoHighLevel, and support AI voice workflows that handle inbound and outbound calls, appointment scheduling, live transfers, and FAQs.

You will help ensure every call, campaign, and contact is handled accurately, logged properly, and moves prospects toward booked appointments and reactivations. As you grow, this role can develop into a team-lead position supervising other VAs.

Key Responsibilities

1. Campaign and Data Operations (Apollo + GoHighLevel)

- Pull and clean prospect lists from Apollo based on defined ICPs and campaign criteria.
- Build and manage contact imports into GoHighLevel, including tagging, segmenting, and pipeline placement.
- Launch and monitor outbound campaigns (email, SMS, and call workflows) tied to our AI voice agent and follow-up sequences.
- Maintain CRM hygiene: update statuses, clean duplicates, track stages, and ensure accurate reporting.

2. Support AI Voice Agent Workflows

- Align campaigns with the AI voice agent workflow, which includes:
- Answering inbound calls within 1–2 rings with a consistent script.
- Identifying caller intent (new appointment, existing appointment, reschedule/cancel, emergency, FAQ, billing, specific person, general support).
- Supporting appointment scheduling flows by ensuring calendars, appointment types, and notifications are configured correctly.
- Enabling reschedule and cancellation paths that verify caller identity and protect the schedule.
- Maintaining an accurate FAQ knowledge base (business hours, location, services, basic pricing, what to expect, what to bring).
- Ensure live-transfer rules are correctly implemented so urgent, sensitive, or complex calls are routed to the right human tea ---------- mber.

3. Appointment and Follow-Up Support

- Assist with follow-up and appointment-setting workflows generated by the AI system (reminders, confirmations, reschedules, reactivations).
- Support outbound use cases such as:
- Appointment reminders and follow-ups
- Reactivation campaigns
- Missed-call recovery
- Lead qualification callbacks

4. Logging, QA, and Reporting Support

- Help ensure every call is logged with:
- Caller information
- Intent and outcome
- Whether an appointment was booked
- Whether a transfer occurred
- Notes for internal review
- Flag issues, anomalies, or recurring problems in call logs and campaigns so they can be improved.
- Document repeatable processes and help refine SOPs for voice workflows and campaigns.

5. Client and Internal Communication

- Support client communication when needed (status updates, simple clarification questions, basic reporting).
- Escalate issues clearly and professionally to the founder or other tea ---------- mbers.
- As the role grows, potentially join occasional client-facing calls to walk through campaign or CRM details.

Ideal Candidate Profile

**Location & Schedule**

- Based in the Philippines.
- Able to work with some overlap in US business hours.

Experience

- Proven experience as a virtual assistant or operations/campaign VA (agency, SaaS, or service business experience is a plus).
- Hands-on experience with:
- Apollo (or similar tools) for list building and prospect research.
- GoHighLevel (or similar CRMs) for workflows, pipeline management, and campaign setup.

Skills and Attributes

- Strong written English; clear, concise communication.
- Good verbal communication for occasional client-facing support.
- Basic understanding of lead generation and funnel metrics.
- High attention to detail and strong process discipline.
- Comfortable working with AI tools and learning new systems quickly.
- Leadership potential and interest in eventually managing a small team.

Growth Path

- Start as the primary operator for Apollo lists, GoHighLevel campaigns, and AI voice workflows.
- As you demonstrate reliability, ownership, and communication skills, grow into:
- Senior Campaign and Operations VA, and then
- Team Lead managing junior VAs and coordinating across multiple client accounts.
