We are looking for an experienced Operations Virtual Assistant with hands-on experience in dropshipping order management to join our growing eCommerce team.
This is not a customer support role. This position is fully focused on operational order management, supplier coordination, and internal task management.
The ideal candidate has direct experience working with Service Point (SP) as a supplier platform and understands the daily workflows of a dropshipping operation in the European market.
Responsibilities
Manage daily order operations via Service Point dashboard
Review and approve supplier quotations before the 7:00 AM CET deadline
Monitor and follow up on "Waiting for Tracking Update" orders
Communicate directly with suppliers via Slack to resolve delays and issues
Manage and update tasks in ClickUp — coordinate with the customer support agent and assign tasks with clear deadlines
Review and verify that all ClickUp tasks are completed within 24 hours
Monitor all order statuses (Not Quoted, On Hold, In Transit) across Service Point and Shopify
Update Shopify when products are out of stock or unavailable
Prepare weekly and monthly refund and order reports
Identify recurring issues and propose process improvements proactively
Requirements
Direct experience working with Service Point (SP) — this is mandatory
Minimum 2–3 years experience in dropshipping operations
Experience with Shopify order and product management
Experience using ClickUp for task management and team coordination
Strong written English communication skills
Highly organized with the ability to manage multiple order statuses simultaneously
Proactive mindset — able to identify problems and propose solutions independently
Ability to work part-time within European time zone (tasks must be completed before 7:00 AM CET)

Communicate proactively with suppliers and internal tea

This role is not for someone who needs constant guidance. We need a self-starter who manages the operation and keeps everything running smoothly on a daily basis.
Preferred Experience (Big Plus)
Experience with European dropshipping stores — especially Swiss or German market
Experience coordinating between supplier and customer support teams
Experience with order analytics and refund reporting
Familiarity with Slack for supplier communication
