We’re looking for an experienced Automation Specialist to build and optimise workflows across our tech stack, primarily using Make (Integromat), HubSpot, ClickUp, and Google Workspace. This is an initial project-based role, with strong potential for ongoing work.
About the Role
Your first task will be to build a fully functional, end-to-end automation workflow that connects:
- HubSpot (CRM)
- ClickUp (Project Management)
- Google Forms & Google Sheets

This workflow will support our job onboarding process after a deal is won.
Initial Project Scope
You will build a system that:
- Triggers from HubSpot
- When a deal is marked as won and moved to “In Production”
- Creates / updates a ClickUp task In the correct list
- Writes the ClickUp Task ID back to HubSpot
- Ensures no duplicate tasks are created
- Pre-fills a Google Form
- Using HubSpot deal data
- Ideally extracting useful information from deal activity (notes/emails)
- Sends the form to the client
- Automatically
- Captures client responses
- Via Google Forms ? Google Sheets
- Pushes data back into systems
- Updates specific fields in HubSpot
- Updates the existing ClickUp task (not creating a new one)
- Finalises the job setup
- Populates ClickUp task fields as a job sheet
- Assigns the task to the correct project manager
- Sends confirmation
- Automated response to client after form submission
Key Requirements
You must have proven experience with:
- Make (Integromat) – complex multi-step scenarios
- HubSpot CRM – deals, properties, automation
- ClickUp – task creation, custom fields, API/integrations
- Google Forms & Google Sheets
- API integrations and data mapping between systems
- Bonus Skills (Highly Valued)
- Experience using AI tools to:
- Extract insights from CRM data
- Automate lead qualification
- Generate outreach workflows
Experience with:
- Slack integrations

Important
This is not a basic task automation role.
We need someone who can:
- Design clean, reliable systems
- Avoid duplication and logic errors
- Troubleshoot and fix broken workflows
- Think proactively about better ways to structure automation
Future Work
If this project is successful, there is ongoing work including:
- AI-driven outbound campaigns using HubSpot data
- Lead qualification automation
- Improving workflows between HubSpot and ClickUp
- Building additional internal automation systems
