Mandarin-Speaking Sourcing & Operations Assistant
Job Overview
We are looking for a reliable, detail-oriented Mandarin-speaking Virtual Assistant based in the Philippines to support our sourcing and coordination operations.
In this role, you will primarily communicate with Chinese-speaking suppliers, factories, and agencies, ensuring smooth coordination, timely follow-ups, and clear communication between all parties.
You will also work closely with graphic designers and creative agencies to track progress, manage deliverables, and ensure deadlines are met.
Additionally, you will assist with basic research and administrative tasks, including sourcing contacts through platforms like Xiaohongshu and organizing key information for operations.
Key Responsibilities
1. Supplier & Factory Coordination
Communicate with Chinese-speaking suppliers and manufacturers
Translate and relay messages clearly between teams
Follow up on quotations, samples, timelines, and production updates
Compare supplier options and organize pricing details
2. Creative & Agency Coordination
Coordinate with graphic designers and external agencies
Track artwork progress, revisions, and deliverables
Ensure deadlines are met and outputs are aligned with requirements
Maintain clear and organized communication
3. Research & Administrative Support
Conduct research on suppliers and service providers (e.g., Xiaohongshu)
Source and shortlist potential partners or contacts
Organize files, contact lists, quotations, and links
Assist with daily administrative and coordination tasks
Requirements
Fluent in Mandarin and English (written and verbal)
Based in the Philippines
Strong communication and follow-up skills
Highly organized and detail-oriented
Able to work independently with minimal supervision
Comfortable using tools like Google Sheets, WeChat, WhatsApp, and
Experience in sourcing, supplier coordination, or admin work is a plus
Familiarity withXiaohongshuis an advantage
