Total Closing Solutions is a fast-growing business services company supporting contractors, attorneys, and title & escrow companies with virtual notary services, e-recording, permit filing, business formation, compliance, and back-office financial support.
We are building streamlined, tech-driven systems to scale rapidly—and we need a highly capable Executive Assistant who can operate at a high level alongside leadership.
Position Overview
We are seeking a detail-oriented, proactive Executive Assistant to support the CEO/COO while also acting as a Go High Level (GHL) CRM specialist. This role is a blend of executive support, systems management, and operational execution.
You will be responsible for keeping leadership organized, optimizing workflows, and owning the setup, management, and training of our CRM systems.
Key Responsibilities
Executive Support
Manage CEO/COO calendars, scheduling, and communications
Prioritize
Coordinate internal and external meetings
Assist with project management and task tracking
Prepare reports, documents, and presentations
Go High Level (GHL) CRM Management
Build, optimize, and maintain GHL CRM systems
Set up pipelines, workflows, automations, and integrations
Create landing pages, forms, and campaign sequences
Monitor CRM performance and suggest improvements
Troubleshoot issues and ensure system reliability
Training & Implementation
Train internal tea
Develop SOPs and training materials
Support onboarding of new clients into CRM systems
Assist in implementing CRM solutions for clients
Operational Support
Help streamline business processes and workflows
Assist with client onboarding and service coordination
Work cross-functionally with sales and operations teams
Qualifications
Required
Proven experience as an Executive Assistant or similar role
Strong experience with Go High Level (GHL) CRM
Excellent organizational and time management skills
Strong written and verbal communication skills
Ability to manage multiple priorities independently
Tech-savvy with experience in automation and digital tools
Preferred (Not Required)
Experience working with:
Title & escrow companies
Attorneys or legal services
Construction or contractor businesses
Familiarity with CRM migrations and system builds
Experience supporting executives in fast-paced environments
