Role Overview

We are seeking a detail-oriented, execution-driven professional with a strong marketing and business development mindset. This role supports pursuit strategy, proposal development, and outbound communications by producing high-quality materials, managing systems, and ensuring deadlines are met.

This is not a passive coordination role. The ideal candidate is proactive, fast, and capable of producing polished, client-ready deliverables with minimal oversight.


Core Responsibilities

Pursuits & Proposal Coordination

Manage pursuit calendars, deadlines, and submission requirements
Coordinate inputs across tea ---------- mbers to ensure timely, compliant submissions
Track opportunities, statuses, and follow-ups in CRM and internal systems
Identify process inefficiencies and implement improvements

Content Development & Design

Create professional PowerPoint presentations and Canva-based proposals
Format and package documents to client-ready standards
Support development of marketing collateral and pitch materials

Marketing & Communications

Develop and distribute newsletters (e.g., Mailchimp or similar platforms)
Draft and send professional email communications and follow-ups
Maintain consistency in brand voice and presentation quality

CRM & Database Management

Maintain and update CRM systems with accurate and timely data
Manage contact databases and outreach lists
Track engagement and support business development efforts

Research & Follow-Up

Conduct targeted research on opportunities, partners, and clients
Follow up on leads, submissions, and outstanding requests
Support pipeline development with organized tracking and reporting

Qualifications

Proven experience in marketing, business development, or proposal coordination
Strong proficiency in:

PowerPoint (advanced formatting and storytelling)
Canva (design and layout)
CRM systems (e.g., Zoho, Salesforce, HubSpot, etc.)

Email
marketing platforms (e.g., Mailchimp)
Demonstrated ability to manage multiple deadlines and priorities
High attention to detail and quality control
Strong written communication skills
Self-directed with a bias toward execution and follow-through

Work Style Expectations

Highly responsive during U.S. Pacific Time business hours | online during work hours
Able to work independently with minimal supervision
Comfortable operating in a fast-paced, deadline-driven environment
Proactive in identifying gaps, risks, and improvements
