JOB OVERVIEW

We're a fast-moving marketing and events company looking for a sharp, self-directed Virtual Assistant who figures things out without hand-holding. You'll primarily support Vanta Systems (a B2B marketing agency serving pool builders and outdoor living contractors in Florida) and occasionally our events brand.
This role is for someone who is resourceful, takes initiative, and uses AI tools to work smarter. If you need step-by-step instructions for every task, this isn't the right fit.

What You'll Be Doing

Vanta Systems (Primary)

Create ad graphics using AI image generation tools (Midjourney, Ideogram, or similar) and finish them in Canva — think AI-rendered pool and outdoor living visuals with text overlays, similar to Meta ad creatives
Replicate and recreate ad creatives from reference examples provided
Post and manage content in Meta Business Suite
Follow SOPs to build out basic websites and Google My Business profiles
General VA tasks — research, organizing assets, formatting content, managing files
GoHighLevel (GHL) experience is a big plus but not required

Events Brand (Secondary)

Clip event footage into short-form content when needed
Organize raw footage and media assets in Google Drive

What We're Looking For

Strong with AI tools — image generation, ChatGPT, Claude, or similar
Proficient in Canva
Comfortable with Meta Business Suite
Resourceful — can take a reference and figure out how to replicate it
Fluent in English (written and spoken)
Detail-oriented and consistent
Familiar with Claude Cowork or AI-assisted workflows is a major plus

Requirements

Must be comfortable working with Hubstaff time tracking — minimum 70% activity rate required. This is non-negotiable.
Available Mon, Wed, Thu or fully async
15 hrs/week to start with room to grow
Must be able to take a creative brief or reference example and execute without micromanagement

Wage: $4USD/hr with room to grow
