AOL Operations Genius – Leading Australian Finance Broking Business
About the Role
This is a very busy, high?impact role supporting a leading Australian finance broking business. You will be the engine behind the brokers – owning AOL work, operations, administration, client coordination and keeping everything organised, accurate and moving quickly.
The ideal candidate is highly organised, energetic and has a strong “can?do” approach, keen to take on a wide variety of tasks with the drive to constantly improve the client experience and internal efficiency.
Key Responsibilities
AOL & Lending Operations -this is the main part of the role
Work in AOL every day to support brokers with pricing, and lodgements.
Enter and maintain accurate data in AOL for all client applications and opportunities.
Use AOL to track deals from initial scenario through to lodgement, approval and settlement.
Ensure all notes, documents and status updates in AOL are complete, accurate and up to date.
Identify and fix data issues in AOL and proactively clean up and organise records.
Manage client files and enquiries, ensuring information is accurate, complete and current.
Respond to inbound communications on multiple platforms (phone,
Act as a point of contact between clients and brokers, answering questions where appropriate and escalating when required.
Provide quality customer service so clients feel looked after, supported and confident in our process.
Maintain accurate, timely and comprehensive records in our systems (AOL, CRM, spreadsheets, drive folders, task boards).
Assist with preparation of summaries, checklists and basic documentation for the brokers.
Help track applications, follow up required documents and keep all moving parts organised.
Perform other administration tasks that support the broader team and improve turnaround times.
Continually look for better ways of operating and suggest improvements to systems, templates and processes.
Ideal Candidate Profile
Experience & Skills (Non?negotiable)
Minimum 5 years’ experience working in AOL every day in an Australian mortgage/finance broking environment.
Previous experience in an administrative role in finance (mortgage broking, lending, banking, or similar).
Strong computer skills – comfortable with Google Workspace (Gmail, Calendar, Sheets, Docs, Drive), Excel and web?based business tools.
Proven ability to pick up new software systems and tools quickly.
Naturally pays close attention to detail – especially with names, numbers, dates and documents.
Communication & Attitude
Client?oriented, outgoing and friendly with a professional and approachable communication style.
Strong interpersonal, written and verbal communication skills with excellent phone etiquette.
You MUST have great spoken English and feel confident talking to clients and tea
You MUST love talking to and helping people – you enjoy solving problems and putting people at ease.
Strong sense of personal integrity and confidentiality.
Able to work independently while being a part of a team.
Not afraid to ask questions and clarify instructions when needed.
Work Setup & Schedule
Full?time, long?term role (work?from?home).
Reliable internet connection and a quiet, professional workspace.
Willing and able to work mainly in Australian business hours -AWST (with some flexibility by agreement).
