Role Overview
We are seeking a high-level Executive Administrator to serve as a strategic right-hand to the CEO. This is not a traditional administrative role—this position is designed to operate alongside leadership, ensuring the CEO’s time, energy, and priorities are aligned with business growth and impact.
You will manage daily executive operations, streamline communication, oversee scheduling, and ensure follow-through across both companies. You will also support strategic initiatives, partnerships, guest speaking, travel, business growth, and government contracting activities, acting as a force multiplier in execution.
Your success is measured by how effectively you create structure, eliminate bottlenecks, and increase the CEO’s ability to operate at a high level.
Key Responsibilities
Executive Support & Leadership Enablement
Manage the CEO's calendar with precision, prioritizing meetings based on revenue, partnerships, and growth initiatives
Own and organize CEO
Draft, edit, and send high-level communications on behalf of the CEO
Coordinate travel, meetings, and executive logistics
Create structure in daily, weekly, and quarterly executive planning
Track and manage action items from meetings, calls, and strategic discussions
Project & Program Management
Own end-to-end project execution across TIKC and IGL initiatives, from scoping through delivery
Build and maintain project plans, timelines, and milestone tracking using
Track deliverables, deadlines, and dependencies across departments; maintain ≥90% weekly task completion
Identify risks and bottlenecks early and drive resolution before they impact timelines
Run status check-ins and reporting cadences; keep leadership informed with clear, current visibility into project health
Act as liaison between the CEO and internal departments (Marketing, Sales, Operations, Partnerships) to keep execution aligned with strategic priorities
Support planning and coordination for major initiatives, including events, partnerships, and growth projects.
Team Operations & Execution Management
Drive weekly execution across all departments using
Track deliverables, deadlines, and dependencies; maintain ≥90% weekly task completion
Act as liaison between CEO and internal departments (Marketing, Sales, Operations, Partnerships)
Identify and eliminate operational bottlenecks proactively
Monitor client and internal pipelines, ensuring visibility and early risk identification
Maintain structured performance records and support performance management processes
Strategic Initiatives & Business Growth Support
Support partnerships, guest speaking, and business growth initiatives
Provide contract sourcing support, opportunity tracking, and GovCon strategy assistance
Prepare summaries, reports, and briefing documents for executive decision-making
Structure and maintain pipelines for growth, partnerships, and contracting opportunities
Systems, Tools & Process Management
Manage and optimize tools:
Leverage AI tools (Claude, ChatGPT) to increase efficiency in communication and workflow automation
Conduct regular SOP audits; ensure all processes are documented, updated, and followed
Monitor time tracking systems and ensure compliance with company standards
Build and maintain organized systems for document management and communication tracking
Continuously improve workflows and eliminate inefficiencies

Required Qualifications
Proven experience in Executive Administration, Executive Operations, or People Operations
Strong proficiency in
Exceptional organizational and time management skills
Experience with full-cycle recruitment and hiring
Strong written and verbal communication skills in English
Ability to manage high-level, confidential information with discretion
Experience supporting C-level or senior leadership
Tech-savvy with the ability to leverage AI tools (Claude, ChatGPT) for efficiency
Preferred Qualifications
Experience in government contracting (GovCon) or consulting environments
Knowledge of contract sourcing, federal/state opportunities, and bidding lifecycle
Familiarity with proposal writing and project management
Experience supporting businesses in logistics, transportation, or professional services
Background in scaling operations or supporting high-growth environments
