We are a fast-growing U.S.-based marine services company providing towing, salvage, and mooring services across Long Island Sound. We are seeking a highly organized, detail-oriented Operations & Bookkeeping Coordinator to support our day-to-day administrative, financial, and operational workflows.
This role is critical in helping us scale by ensuring jobs are documented properly, invoices are accurate, and our internal systems run smoothly.

???? Key Responsibilities
???? Bookkeeping & Financial Support
• Enter and categorize transactions in QuickBooks Online
• Create and send customer invoices based on completed work
• Match receipts, expenses, and job documentation
• Reconcile accounts and flag discrepancies
• Assist with monthly financial reporting

?? Operations & Job Management
• Review technician job submissions (photos, notes, repair selections)
• Ensure all jobs are properly documented and ready for billing
• Organize and store job photos and service records
• Track job status across multiple service locations
• Maintain clean, accurate internal records
Ideal Candidate Profile
Must-Have:
• 2+ years experience with QuickBooks Online
• Strong attention to detail (this is critical)
• Excellent written and spoken English
• Highly organized and process-driven
• Comfortable working U.S. Eastern Time overlap (at least 4 hours/day)
