Virtual Assistant / Executive Assistant (Remote, Part-Time, Full-Time Growth)
We’re seeking a proactive, highly organized Virtual Assistant to support an entrepreneur with a dynamic lifestyle and multiple business interests. This role spans travel coordination, financial admin, personal projects, digital content support, and more. Ideal for someone resourceful, tech-savvy, and detail-oriented.
This is a remote, part-time position (20 hours/week with growth to full-time, benefits and bonuses). Requiring 1-2 hours overlap with Pacific Time when it’s needed to reach out to businesses that may only be open 8-5 PST for example. Typically we’d have 1 video meeting per week on Mondays to discuss the priorities and other work is flexible to be completed on your own time with due dates in mind.
Key Responsibilities
• Manage calendars, inboxes, scheduling, prioritization, and follow-through
• Coordinate travel including flights, hotels, transportation, itineraries
• Support property-related needs such as short term airbnb management, scheduling vendors, services, invoices, and monitoring recurring tasks.
• Track and organize expenses; maintain spreadsheet-based reports
• Conduct online research for vendors, pricing, products, market data, and personal projects
• Order essential items, track deliveries/returns, and coordinate gifts and services when needed
• Book personal appointments - health, wellness,, dining, etc.
• Administrative tasks including streamlining personal and business systems
• Learn new tools independently and proactively research solutions without needing step-by-step instruction
Requirements
• Excellent spoken and written English with clear, professional communication.
• Prior experience with customer service, spreadsheets, research, travel planning, or financial admin is strongly preferred.
• Highly organized, detail-oriented, consistent, and dependable with reliable internet and computer access.
• Strong Google Workspace proficiency—especially Sheets (formulas, formatting, data cleanup; bonus if pivot tables are familiar).
• Resourceful problem solver—able to complete tasks independently, including entirely new tasks by researching how to do them
• Comfortable using AI tools with the understanding that all outputs must be verified, fact-checked, and properly organized before delivery
• Enjoys learning new tools: Google Workspace, Asana, Claude, ChatGPT, Canva, financial and travel platforms.
• High integrity, ownership mindset, and commitment to delivering accurate, timely, polished work.
• Ability to work autonomously while being accessible for periodic check-ins (e.g., short AM/PM PST windows).
