Overview
Phoenix is a full-service Web3 marketing agency driving growth and innovation for protocols, platforms, and communities in the decentralized space. We value creativity, speed, and building systems that scale. We're looking for a Creative Project Manager to own the day-to-day operations of our creative team, run production from kickoff to final QA, and build the processes that let a lean team punch above its weight.
This is a fully remote role. Working hours must overlap with U.S. timezones for real-time collaboration with the team and clients.
The Role
This is the operational backbone of our creative department. You won't just be tracking tasks, you'll be managing a team of designers and coordinators, owning the full lifecycle of 100+ creative requests per month, and building the systems that keep quality high while volume scales.
Reporting directly to Leadership / Co-Founder, you are the bridge between Account Management and the Creative team. You're responsible for making sure the creative vision translates into flawless output — on-brand, on-budget, and ahead of schedule — without burning out the people doing the work.
What Success Looks Like in 90 Days
- You've established a consistent QA process so nothing reaches a client without a review checkpoint.
- The creative team has clear daily priorities and a structured workflow — no one is guessing what to work on next.
- Revision rounds have decreased because briefs are tighter and feedback loops are faster.
- You've built a working rhythm with Account Management so requests flow cleanly into production without bottlenecks.
- The team sees you as their manager, not just a coordinator.
Responsibilities
Team Management & Creative Operations
- Directly manage the internal creative team — designers, coordinators, and junior contributors. This means assigning work, running 1:1s, giving feedback on output quality, unblocking people, and building a culture of accountability and craft.
- Act as the final Quality Assurance (QA) lead. Every deliverable gets reviewed against brand guidelines and technical specs before it reaches a client. You are the last line of defense.
- Own the daily workflow across 100+ monthly creative requests (client and internal). Prioritize, sequence, and keep the board moving so the team always knows what's next.
- Anticipate resource gaps and proactively manage scope expansion and change requests** to protect team bandwidth, timelines, and project profitability.
Process & Systems
- Architect and continuously improve creative workflows — from intake to delivery — so the team can handle growing volume without proportional headcount increases.
- Maintain detailed project roadmaps, milestones, and delivery schedules for multiple concurrent Web3 accounts.
- Evolve our internal tech stack (Notion, Figma, Adobe Creative Cloud) to automate repetitive tasks and improve reporting transparency.
- Manage third-party vendors or freelance contributors when needed, ensuring their work integrates seamlessly with internal standards.
Client Integration & Communication
- Serve as a point of contact for clients during the production phase when needed, translating complex feedback into clear, prioritized creative briefs.
- Navigate client feedback sessions — balancing client desires with creative integrity and production realities.
- Translate high-level client business goals into actionable, tiered project phases for the design and content teams.
Qualifications
Required:
- 3–5 years of experience in a creative agency environment — specifically running creative operations, managing production workflows, and keeping high-volume output on track. You've done this at scale before.
- Figma proficiency — you can confidently navigate design files, collaborate within shared workspaces, manage structured feedback cycles between designers and stakeholders, and enforce file organization standards.
- People management experience — you've directly managed creative talent (designers, coordinators, or producers), not just managed projects alongside them.
- AI-assisted creative workflows — working familiarity with AI design tools, generative content tools, and automation in the creative process. You don't need to be an expert, but you should be comfortable integrating AI into ideation, production, and iteration cycles. This is a core part of how we work.
- High-volume operational comfort — you thrive managing 100+ requests per month across multiple accounts simultaneously, not 5 big campaigns per quarter.
Preferred:
- Design background or strong design sensibility — you can evaluate creative output with a trained eye, not just check boxes.
- Experience with Adobe Creative Cloud production workflows.
- Familiarity with Google Workspace and Notion for documentation, project tracking, and team collaboration.
- Understanding of the Web3 landscape (DeFi, NFTs, DAOs) and the pace of crypto-native creative cycles. This is preferred but not required. If you're a strong operator with agency experience, we can get you up to speed on Web3.
