JOB OVERVIEW

We are seeking a highly capable Administrative & Project Support Virtual Assistant to take
ownership of execution-heavy, detail-oriented tasks so leadership can stay focused on
high-value work.

The top priority of this role is administrative excellence — someone who thrives on
organization, polish, deadlines, and follow-through. This VA will manage post-meeting
action items, prepare and format documents, coordinate agreements, and ensure projects
move forward without bottlenecks.

Secondary responsibilities include grant proposal support, WordPress updates, and light
social media execution, including LinkedIn and Canva-based assets.
If you love turning messy notes into clean deliverables and making sure nothing falls
through the cracks, this role is for you.


Primary Responsibilities:
1. Administrative & Executive Support (Top Priority)
* Draft, format, and finalize consulting agreements
* Send agreements to consultants and track signatures
* Write and refine scopes of work based on client conversations
* Update and polish documents (formatting, fonts, layout, consistency)
* Prepare professional, client-ready deliverables
* Handle scheduling, follow-ups, and email coordination
* Take ownership of post-meeting task lists and execution

2. Project & Task Management
* Track action items coming out of meetings
* Manage deadlines and ensure deliverables are completed on time
* Coordinate tasks across multiple projects
* Maintain clarity on “what’s next” and “who owns what”
* Follow up persistently and professionally until tasks are complete

3. Grant Proposal Support
* Assist with assembling grant proposals
* Organize supporting documents and attachments
* Ensure formatting, details, and compliance requirements are met
* Maintain accuracy, consistency, and attention to detail throughout

4. Website & Content Support
* Post blog content to LinkedIn
* Upload and format blog posts in WordPress
* Ensure content formatting, spacing, and visuals are clean and aligned
* Coordinate basic content updates as needed

5. Light Social Media & Design Support
* Assist with social media posting and scheduling
* Support basic content formatting and organization
* Create or update simple graphics using Canva
* Maintain brand consistency across visuals and posts

Required Skills & Experience:
* Strong administrative and executive support experience
* Excellent document creation, formatting, and polishing skills
* Experience drafting or managing agreements and scopes of work
* Project and task management experience
* Highly detail-oriented with strong follow-through
* Excellent written English communication
* Comfortable managing multiple deadlines at once
* WordPress experience
* Canva experience
* Organized, proactive, and dependable

Preferred (Nice-to-Have) Skills
* Experience supporting consulting or advisory firms
* Grant proposal experience
* Social media scheduling tools experience
