About Us:
On The Fly Waste Solutions is a fast-growing valet trash and waste management company based in Central Florida. We serve resort communities, HOAs, and multifamily properties across the region. We are expanding rapidly and looking for a driven, professional virtual assistant to help us manage inbound leads, follow up with prospects, and support our sales and outreach efforts.

About the Role:
You will be the first point of contact for new inquiries that come through our website and email. You will also be responsible for proactive outreach to property management companies and real estate developers on our behalf. This is a highly important role — you represent our brand and your professionalism directly impacts our ability to win new contracts.

Responsibilities:

Respond to all inbound website form submissions and email inquiries within 1 hour using provided email templates
Follow up with prospects who have not responded to proposals or previous emails
Conduct outbound email outreach to property managers and real estate developers using provided scripts and templates
Research property management companies and development companies to identify procurement contacts and decision makers
Fill out vendor partnership and supplier applications on company websites
Update and maintain our CRM (HubSpot) with accurate lead status, notes, and contact information
Schedule site visits, walkthroughs, and calls on behalf of the CEO
Compile weekly lead tracking reports summarizing outreach activity and responses
Assist with general administrative tasks as needed

Requirements:

Excellent written English — professional, clear, and natural sounding
Strong verbal English communication skills for occasional phone or video calls
Previous experience in customer service, sales support, or virtual assistant roles
Experience with CRM tools such as HubSpot, Salesforce, or similar platforms
Proficient in Gmail, Google Sheets, and Google Docs
Highly organized, self-motivated, and able to work independently with minimal supervision
Reliable internet connection and quiet working environment
Available to work Eastern Time business hours

Preferred but Not Required:

Experience working with US-based real estate, property management, or construction companies
Familiarity with LinkedIn outreach and lead research
Experience with VoIP phone systems such as OpenPhone or Google Voice
