AI Operations Specialist — Medical Practice

Full-time / Part-time

About the role

We are a regenerative medicine and pain management clinic based in the United States seeking a highly skilled AI Operations Specialist to join our remote team. This is a hands-on role where you will use AI tools daily to automate billing workflows, manage prior authorizations, and support our outreach to referring medical practices and aesthetic clients.

This is not an entry-level position. You must be able to demonstrate real, working examples of AI automations you have built or managed.

What you will do

Medical billing automation — use AI tools to streamline claims submission, follow-ups, and denial management workflows.

Prior authorization support — research and submit PAs using templated AI-assisted workflows, track status, and flag urgent cases.

Daily outreach automation — build and manage automated email sequences targeting referring physicians, Hydrafacial clients, and laser hair removal clients using tools like ---------- , Zapier, or n8n paired with an AI writing layer.

Marketing execution — identify and deploy tools for reaching other medical practices (PCP, orthopedic, pain clinics) to grow our referral base.

Instagram content production — create animated story ads and carousel explainer ads tailored to our aesthetic services using AI-assisted design tools. Must understand Instagram ad formats, aspect ratios, and engagement best practices natively.

Process documentation — write and maintain SOPs for every automation you build so the clinic can run without you as a single point of failure.

Required — Instagram ad experience (non-negotiable)

Applicants must have hands-on experience producing Instagram animated story ads and carousel explainer ads. You must understand native Instagram ad formats, safe zones, motion principles for short-form content, and how to use AI tools (such as Canva AI, Adobe Express, CapCut, or Runway or Claude) to produce these at scale. Portfolio samples are mandatory — applications without Instagram ad examples will not be reviewed.

When applying, you must include: (1) a screen recording or screenshots of an AI automation you built, (2) at least two Instagram ad samples — one animated story and one carousel — from past work, and (3) a short paragraph explaining the tools used for each. Applications without all three will not be reviewed.
Nice to have

Experience working with US healthcare or medical clinics. Familiarity with HIPAA-safe data handling practices. Experience with prior authorization portals (Availity, NaviNet, or payer portals). Experience running paid Instagram ad campaigns, not just producing creative assets.
