We’re looking for a reliable, detail-oriented Virtual Assistant to support our team on a part-time basis. This is a consistent part-time role (4–5 hours/day) requiring organization, proactivity, and the ability to switch between tasks. This role is a blend of billing, administrative support, executive assistance, and ad hoc project work - perfect for someone who is organized, proactive, and comfortable wearing multiple hats.
Key Responsibilities
- Manage accounts receivable (AR), including invoicing and billing
- Process and submit invoices through BILL
- Handle SwipeClock billing tasks and generate invoices
- Process refunds
- Support accounts payable (AP) by paying invoices/bills
- Prepare and send invoices to clients
- Track payments and follow up on outstanding balances
- Maintain CRM updates and organize records
- Create and manage spreadsheets, trackers, and reports
- Conduct basic research and information gathering
- Manage and organize
- Schedule meetings, appointments, and maintain calendars
- Coordinate follow-ups and reminders on behalf of the executive
- Research assigned topics and compile summaries
- Assist with ad hoc projects as needed
- Provide general administrative support as tasks arise
Requirements
Prior experience as a Virtual Assistant, Administrative Assistant, or similar role
Familiarity with invoicing and basic billing processes
Strong written and verbal English communication skills
Proficiency with tools such as Google Workspace, Microsoft Office, and/or QuickBooks (or similar)
Highly organized, self-motivated, and able to work independently
Reliable internet connection and a quiet, professional work environment
