About the Role:
We are looking for a highly organized and detail-oriented Virtual Assistant to assist our HVAC office managers based in the United States. In this role, you will provide administrative and operational support to help keep day-to-day office processes running smoothly.
You’ll work closely with our team to handle documentation, process paperwork, and assist with customer-related tasks so our office managers can focus on higher-level business operations. Key Responsibilities:
• Prepare and process invoices for HVAC services, repairs, and equipment
• Submit equipment warranty registrations for completed installations
• Prepare and file rebate documentation for energy-efficient HVAC systems
• Assist with creating and scheduling social media posts for HVAC businesses
• Provide administrative support to office managers
• Maintain accurate digital records and documentation
• Follow established processes to ensure tasks are completed correctly
• Communicate with tea
• Provide occasional support with customer service tasks when needed
Requirements:
• Strong English communication skills: spoken and written (REQUIRED)
• Previous experience working as a Virtual Assistant, Administrative Assistant, or Process Support Specialist (REQUIRED)
• Experience supporting trade-related businesses such as HVAC, plumbing, solar, electrical, roofing, or similar industries (REQUIRED)
• Experience handling permits, rebates, or documentation for service businesses (PREFERRED)
• Familiarity with creating professional social media content
• Comfortable using common office software and online tools
• Tech-savvy and able to quickly learn new systems
• Strong attention to detail and organizational skills
• Ability to work independently and manage multiple tasks while meeting deadlines
• Positive attitude and willingness to support growing businesses
Work Schedule:
• Full-time remote position
• 8 hours per day, 5 days per week
