JOB OVERVIEW

**About the Role**

We’re hiring a Remote HOA Admin / Operations Specialist with CINC Systems experience to support a consulting team that works with HOA management companies across the U.S.

This is not a traditional HOA admin role. You will not be managing homeowners or communities directly.
Instead, you’ll operate as a generalist supporting consultants, helping execute work inside CINC, manage recruiting workflows, and keep client projects organized behind the scenes.

If you’ve worked in HOA/property management and enjoy being the person who keeps everything running smoothly, this role is a strong fit.

**What You’ll Do**

1. CINC Systems Support (Primary Focus)
- Work inside CINC Systems to support consulting projects
- Enter, clean up, and maintain data (owners, associations, ledgers, notes)
- Run reports, exports, and audits as requested
- Complete follow-up work after client or training calls
- Document workflows and updates as processes evolve
- Support consultants in improving how clients use CINC

2. Recruiting & Pipeline Support
- Manage candidates inside our ATS (update stages, track progress)
- Prepare organized candidate packets (resumes, notes, video links)
- Coordinate and manage video interview links and files
- Keep pipelines accurate and up to date
- Assist with post-project summaries and debrief notes

3. Client & Candidate Coordination (Back-End)
- Draft and send emails, schedule calls, and manage follow-ups
- Track deadlines and next steps across multiple projects
- Ensure client-facing materials are clean, accurate, and professional
- Keep internal systems organized so nothing falls through the cracks

4. Process Improvement & Documentation
- Turn one-off fixes into repeatable systems
- Document SOPs as workflows are refined
- Participate in team debriefs and suggest improvements
- Look for ways to improve speed, clarity, and consistency

**Requirements (Must-Have)**

- Hands-on CINC Systems experience (required)
- 1–2+ years in HOA, property management, or similar admin role
- Strong attention to detail and organization
- Excellent written English communication
- Comfortable using multiple tools (ATS, Google Workspace, video tools, etc.)
- Ability to manage multiple projects at once

**Nice to Have**

- Experience supporting recruiting or hiring workflows
- Experience working across multiple systems or tools
- Familiarity with SOP creation or process documentation
- Experience working with U.S.-based teams
