We are seeking a highly organized, proactive, and detail?driven Executive Operations Assistant to support daily operations, communication, scheduling, and digital workspace management. This is a senior support role requiring exceptional professionalism, discretion, and the ability to manage complex workflows independently.
This position is fully remote but requires strict alignment with U.S. Eastern Standard Time (EST).
Core Responsibilities
Email
- Monitor and manage the Managing Director’s
- Draft, refine, and send professional responses to clients and partners
- Manage WhatsApp communications with clarity and professionalism
- Prioritize messages and flag items requiring urgent attention
Calendar & Meeting Coordination
- Manage calendars, schedule meetings, and prevent conflicts
- Remotely attend all meetings on behalf of the Managing Director
- Take structured, well?organized notes and action items
- Ensure follow?ups and commitments are tracked and completed
Digital Workspace & Information Management
- Maintain and update OneNote with structured notes, links, files, and references
- Organize OneDrive folders and ensure files remain clean, consistent, and easy to navigate
- Support digital documentation, naming conventions, and version control
- Assist with preparing documents, summaries, and internal briefs
Operations, HR & Administrative Support
- Assist with staff payroll coordination and HR?related tasks
- Maintain confidential records and staff information
- Support onboarding and internal communication
- Assist with administrative tasks that support smooth business operations
Qualifications
- 3–5 years experience as an Executive Assistant, Operations Assistant, or similar role
- Exceptional English communication skills (written and verbal)
- Strong organizational and time?management abilities
- High proficiency with Microsoft 365 (Outlook, OneNote, OneDrive, Teams), Google Docs, Notion, etc
- Ability to take structured, actionable meeting notes
- Experience managing calendars and client communication
- Strong attention to detail and ability to work independently
- Must be able to work full?time during U.S. EST hours
