JOB OVERVIEW

Executive & Real Estate Virtual Assistant (Remote, Calgary Time Zone)

Type: Part-time ? Full-time
Hours: 20 hrs/week (probation), transitioning to full-time
Location: 100% Remote (must be aligned with Calgary, AB time zone)

About the Role
We’re hiring a high-performing Executive & Real Estate Virtual Assistant to support a driven real estate professional scaling toward top commercial production while managing an active residential business and growing investment portfolio.

This is a long-term, high-trust role for someone who thrives in a fast-paced environment, takes ownership, and operates with discretion. You’ll be involved across business operations and personal admin — bringing structure, consistency, and efficiency to everything you touch.

Key Responsibilitie:

Commercial Real Estate
-Manage CRM daily and ensure consistent follow-up
-Coordinate showings, meetings, and deal flow
-Prepare listing packages and market research
-Track deals from offer to closing
-Liaise with lawyers, lenders, and inspectors
-Maintain pipeline visibility and deadlines

Residential Real Estate
-Manage and nurture inbound leads
-Coordinate showings and listing appointments
-Prepare marketing materials and client documents
-Upload and promote listings across platforms
-Coordinate staging, photos, and open houses
-Support transactions end-to-end
-Draft client communications and updates

Portfolio Management
-Track rents, leases, and renewals
-Coordinate with tenants, trades, and property managers
-Monitor and follow up on maintenance requests
-Organize documents and reporting
-Track expenses and flag vacancies

Personal & Executive Support
-Manage calendar, scheduling, and reminders
-Book travel, reservations, and logistics
-Handle errands, research, and vendor coordination
-Draft personal correspondence as needed

Requirements
-2+ years of experience as a VA, EA, or operations support
-Real estate or property management experience preferred
-Strong CRM experience (Follow Up Boss, HubSpot, etc.)
-Excellent written communication skills
-Comfortable managing real estate transactions and timelines
-Highly organized with strong attention to detail
-Proven ability to juggle multiple priorities
-High discretion with sensitive information
-Proactive, self-directed, and solution-oriented
-Interest in leveraging AI tools for efficiency

Nice to Have
-Experience with ChatGPT or Claude
-Google Workspace, Canva, Notion/Asana
-Dotloop or Skyslope
-MLS platforms
-Slack, Zapier, or property management tools
