Career Services Coordinator (Virtual Assistant)
We run an AI-powered platform that automatically matches and applies to jobs on behalf of job seekers. The platform works best when there's strong alignment between a client's resume, their job titles, and the roles they're targeting. When that alignment is right, clients are getting 5-10 interviews per month. When it's off, the tool underperforms. This role is responsible for getting that alignment right.
What you'll do:
Resume Analysis (following our framework):
- Compare each client's resume headline, job titles, and skills against their target role list
- Flag mismatches: titles that don't exist in the market, headlines that claim experience not supported by the resume, internal titles that recruiters won't search for
- Document findings in a standard template
Platform Expertise and Job Market Verification:
- Become an expert in our platform and use it as the primary tool for verifying whether target roles are available and being matched correctly
- Provide feedback when the platform is missing roles or returning poor matches
- Use external job boards (LinkedIn, Indeed, Glassdoor) when needed to confirm whether a role is missing from our platform or is uncommon in the market
New Client Intake and Ongoing Maintenance:
- Proactively check for new client accounts and begin analysis without waiting to be assigned
- Monitor existing client accounts to ensure alignment stays current as job markets shift
- Volume varies by day, from a handful of reviews up to 30
Recommendation Drafts:
- Prepare a summary of recommended changes: titles to add, titles to remove, resume edits needed
- Draft client-facing messages for review before sending
- Once approved, execute changes to resumes and search configurations
- Flag clients where we may not be a good fit for their target roles rather than forcing recommendations that won't work. Escalate these internally
Coach Communication (after ramp-up):
- Present recommendations to career coaches who manage client relationships. These coaches are experienced professionals who expect you to know the job market and back up your recommendations with evidence
- Answer follow-up questions about title changes and resume edits
- Ask for internal support when a client's industry or role is outside your knowledge area
Required:
- Excellent written English. Your writing goes directly to US-based clients and experienced career coaches. This is non-negotiable
- 2+ years in recruiting, HR, resume review, career services, or talent acquisition
- Ability to follow a defined process consistently, even on high-volume days
- Comfortable doing online research when needed to verify job availability
- Proactive work style. You'll be checking for new clients and monitoring accounts, not waiting for tasks to be assigned
- Available during US business hours for at least 4 hours of overlap
Nice to have (we can teach these quickly):
- Proficiency with AI tools (ChatGPT, Claude, Perplexity). We'll train you on how to use these for research and drafting
- Familiarity with US job titles, hiring norms, and how ATS systems work. We have reference materials and frameworks for this
- Knowledge of specific industries. Our process and templates will guide you through unfamiliar sectors
- Resume formatting and document editing. Helpful but not the core skill
- Experience with specific job boards. Only used for spot-checking, not primary workflow
This role starts with all work reviewed before it reaches clients. As you demonstrate consistent quality, you'll take on more direct coach and client communication.
Remote. ~$1,000 /month, depending on experience. Part-time to start, potential full-time.
