We are seeking a highly organized and detail-oriented Transaction Coordinator to manage and oversee real estate transactions from contract to close. This role ensures that all files, deadlines, and documents are handled accurately and on time while providing a smooth experience for clients and agents.
The ideal candidate thrives in a fast-paced environment, is systems-driven, and has strong communication skills. This person should be confident using our CRM to manage leads and clients, SkySlope to track files and paperwork.
Key Responsibilities
- Manage all aspects of real estate transactions from executed contract to closing
- Ensure all deadlines, contingencies, and contract timelines are met: inspections, appraisal, financing deadlines, closing date
- Keep client up-to-date with the whole process
- Ensure a smooth, professional, and stress-free experience for clients
- Keep track of buyer details such as: close date, buyer contact information, important milestones (birthdays), hobbies, etc
- Creating a system to keep track of anniversary dates
Document & File Management
- Upload, organize, and maintain all transaction documents in SkySlope
- Ensure all files are complete, accurate, and compliant with brokerage and state requirements
- Review contracts and documents for missing signatures or required information
- Maintain organized and up-to-date transaction records
Communication & Coordination
- Act as the main point of contact between agents, clients, lenders, escrow/title companies
- Provide regular updates to clients and agents throughout the transaction
- Communicate next steps clearly and ensure all parties stay informed
- Follow up on outstanding items to keep transactions on track
Appointment Coordination
- Schedule inspections and final walk throughs
- Work with escrow/title and lenders to ensure timely closing dates
Compliance & Accuracy
- Ensure all transactions meet legal, brokerage, and compliance standards
- Track and complete all required disclosures and documentation
- Maintain confidentiality and handle sensitive information professionally
Ideal Candidate
Previous experience as a Transaction Coordinator or in real estate preferred. Strong organizational and multitasking skills. High attention to detail and accuracy. Excellent written and verbal communication skills. Familiarity with SkySlope, CRM systems, and MLS (preferred). Ability to manage multiple transactions at once. Problem-solving mindset and ability to work under deadlines
* 3 month trial part time, 20-30 hours a week, with the option to become full time after 3 months *
