Content Operations Coordinator (Video Marketing Agency)
Description:
We are a growing video marketing agency based in Florida working with service-based businesses.
We are looking for a highly organized Content Operations Coordinator to manage our video production workflow, keep projects moving on time, and assist with client onboarding and content posting.
This is NOT a creative role. This is an organization, coordination, and follow-up role.
Your job is to make sure nothing falls through the cracks.
Core Responsibilities:
???? Content Production Management (Top Priority)
Track all video projects from filming ? editing ? client review ? posting
Follow up with editors to ensure deadlines are met
Ensure videos move through the pipeline without delays
Update and maintain our project management system (
???? Content Organization (Very Important)
Create and organize folders for each video project
Set up individual folders for each video after filming (example: 15 videos = 15 folders)
Upload and organize:
Raw footage
Scripts
Assets
Sort and place B-roll footage into the correct video folders
Maintain a clean, structured Google Drive system
???? Content Posting & Scheduling
Upload and schedule content across platforms (Instagram, TikTok,
Add captions and ensure correct formatting
Confirm content is posted correctly
???? Client Onboarding Support
Help manage onboarding checklists inside
Send simple asset requests (example: logo files)
Assist with scheduling onboarding calls and shoot dates
Set reminders and ensure onboarding steps are completed on time
???? Team Communication
Follow up with tea
Flag delays or issues early
Provide simple daily or weekly status updates
Additional Responsibilities (as role grows):
Assist with GoHighLevel CRM updates (contacts, pipelines, tags)
Track completed work for editors and prepare payout summaries
Create simple thumbnails using templates (Canva or similar)
Support basic administrative and scheduling tasks
Requirements:
Extremely organized and detail-oriented
Strong written English
Experience with tools like Monday, Trello, Asana, or similar
Comfortable working with Google Drive and file organization
Able to follow structured processes and checklists
Proactive communicator (follows up without being told)
Bonus (Not Required):
Experience working with video content or media files
Experience supporting onboarding processes
Experience working with marketing agencies
Compensation:
$500/month, full-time
(Approximately 25–40 hours per week depending on workload)
