The Role
We are looking for a highly organized, detail-obsessed Virtual Assistant to join the Red Wagon Detailing team. This is not a task-checking, clock-in-clock-out position. We need someone who takes ownership. Someone who treats our clients as if they are their own clients. Someone who understands that a lead left on read is revenue left on the table — and that is not acceptable here.
You will be the first voice of our brand in many client interactions. That is a responsibility we take seriously, and we expect you to as well. You will work directly with the founder, receive clear frameworks and SOPs to guide your work, and be expected to operate independently within those guidelines during your shift.
This role has three primary pillars:
Writing and maintaining internal Standard Operating Procedures (SOPs)
Client communications and lead response via text using our messaging framework
Social media posting and scheduling across Instagram and TikTok (2–3 posts per day)
Responsibilities in Detail
SOP Development
You will be responsible for documenting the way Red Wagon Detailing operates — from how we greet a new lead, to how we follow up after a coating job, to how we handle a rescheduled appointment. These SOPs will serve as the backbone of our operations as we scale. You need to be able to take a verbal explanation or a rough outline and turn it into a clear, structured, professional document that any future tea
Write, format, and maintain SOPs across all areas of the business
Interview the founder to extract process knowledge and translate it into written systems
Revise SOPs as processes evolve and update documentation accordingly
Organize all documents in a clear, accessible file structure
Client Communications & Lead Response
Speed and tone are everything in this part of the role. A lead that reaches out and does not hear back within minutes may be gone within hours. Your job is to make sure that does not happen. You will be given a messaging framework that tells you exactly how to respond to different types of inquiries — your job is to execute that framework with consistency, professionalism, and warmth.
Monitor and respond to all inbound client texts during your shift using our provided framework
Ensure zero leads go unanswered during your working hours
Qualify leads, collect necessary vehicle and service information, and flag bookings for the founder
Follow up with existing clients on appointment confirmations, prep instructions, and post-service check-ins
Communicate with the professionalism and tone that reflects a premium brand
Social Media Posting
Red Wagon Detailing has an active Instagram page with over 13,000 followers and a growing TikTok presence. Content is created by the founder and the team. Your role is not to create the content — it is to make sure it gets posted consistently, on schedule, with the right captions, hashtags, and formatting for each platform. Consistency on social media is not optional for us. It is part of how we generate awareness and attract the type of clients we want.
Post 2–3 pieces of content per day across Instagram and TikTok
Write or refine captions to match brand voice — professional, confident, and results-focused
Apply appropriate hashtags and tags for reach and discoverability
Schedule posts using approved tools when content is provided in advance
Flag any content gaps or missing assets to the founder proactively

Exceptional written communication skills — you write clearly, professionally, and without errors

Experience in a client-facing or customer service role where responsiveness mattered
Comfort working independently without someone checking in on you every hour
A working knowledge of Instagram and TikTok — you understand how both platforms work
Experience writing SOPs, process documents, or internal documentation of any kind
The ability to follow a framework precisely while still sounding like a human being
Reliability — you show up, you log on, and you do the work every single day
