JOB DESCRIPTION
An established Australian business is looking for a full-time Business Operations & Systems Organiser to help build the financial tracking, reporting, and organisational systems the business needs as it grows. This is a role with real responsibility - you will work closely with the business owner to design and maintain the tools that give them a clear view of their numbers at all times.
The business already has one VA handling day-to-day operations. This role works alongside them but focuses on a different layer - expense tracking, bookkeeping, reporting, and keeping things organised behind the scenes. You will work directly with the business owner to understand what data matters, build practical systems to capture it, and keep everything running smoothly.

WHAT YOU'LL DO
* Build and maintain financial tracking systems (Airtable, Google Sheets, or similar) that link income and expenses to individual accounts
* Record operational costs and track profitability at the account level
* Track total funds across accounts and pending withdrawals so the business owner always has a clear cash position
* Manage bookkeeping in Xero, including regular reconciliation
* Produce weekly reports covering balances, expenses, profit per account, and account purchasing trends
* Spot and raise anything that looks off in the numbers early, so small issues don't become big ones
* Design and build new tracking or reporting systems as needs come up, using AI tools where they help
* Help the business owner stay on top of their week - following up on pending items, flagging deadlines, and keeping things structured
* Coordinate with the first VA where workflows connect, particularly around transaction data

REQUIREMENTS
* Comfortable working with numbers - you do not need to be an accountant, but financial data should feel natural to you
* Confident with spreadsheets and data tools (Airtable, Google Sheets, or similar) - you have built trackers or structured systems before
* Comfortable with Xero or happy to learn it - bookkeeping will be a regular part of the role and we will support you getting up to speed
* A natural self-starter - you are the kind of person who looks for what needs doing and gets on with it, asking questions along the way
* Strong written and spoken English - you will write reports and summaries, and communicate daily via
* Already using AI tools (ChatGPT, Claude, or similar) in your work - even in simple ways, as long as it is part of how you actually get things done
* Happy working in a role that will evolve over time - the systems are still being built, and that is part of what makes this role interesting
