I am seeking a highly organized, tech-savvy Virtual Assistant to manage the complex data entry and evidentiary documentation required for high-stakes immigration filings.
You will be responsible for ensuring that thousands of data points—from recruitment logs to personal history records—are organized, accurate, and "audit-ready" for government review.
This role requires a professional who thrives on detail, systematic file organization, and strict compliance with government procedures.
Key Responsibilities:
• Detailed Data Entry: Key-in and cross-reference thousands of details from raw sources (resumes, identity documents, history logs) into Master Excel and Word templates with 100?curacy.
• Audit-Ready Record Keeping: Organize and manage evidentiary records, including date-stamped screenshots, communication logs, and supporting documents to prove compliance with government timelines.
• Information Synthesis: Review high volumes of applicant or client data and summarize them into professional formats that meet strict regulatory standards.
• Systematic File Management: Maintain a flawless digital filing system across multiple platforms, ensuring every piece of evidence is labeled, dated, and easy to retrieve for government audits.
• Quality Control: Perform self-audits to ensure names, dates, and addresses are perfectly consistent across all documentation.
Technical Requirements:
• Expert MS Excel / Google Sheets (formulas, filters, structured data entry).
• Advanced MS Word, Google Drive / OneDrive, and PDF tools (merge, rename, organize).
• Strong proficiency with digital tools: JotForm, E-signature platforms (DocuSign), and Online document sharing.
• Technological Agility: Able to quickly learn and operate systems such as Indeed, Job Bank, and Loom.
• Confidentiality: Absolute discretion in handling sensitive personal data.
Required / Strongly Preferred Experience:
• Hands-on experience with LMIA recruitment processes (Job Bank, Indeed, recruitment logs, screening documentation)
• Experience preparing or organizing immigration-related documents or case files
• Familiarity with compliance-based documentation and audit-ready record keeping
• Background in data entry, bookkeeping, legal admin, or similar detail-oriented roles
Additional Skills (Nice to Have):
• Experience using Canva for simple graphics or social media content.
• Able to assist with basic content posting and administrative tasks as needed.
