JOB OVERVIEW

# Production Manager

## About FireTeam

FireTeam is a performance creative agency built for DTC brands that want to grow. We produce the ads — UGC videos, statics, carousels, commercials — and manage the media that runs them. We're a tight, fully remote team of ~13 across the US, Latin America, and India. We move fast, care a lot, and don't take ourselves too seriously.

## About the Role

We're looking for a sharp, organized, systems-minded operator to run creative production across the entire agency — and over time, make the job itself better through automation.

You'll sit at the center of everything we make. Owning the pipeline from brief to final deliverable. Keeping every project moving. Making sure the right work lands in the right hands at the right time. You're not client-facing — you're the engine room. The team that makes the work depends on you to keep them focused, unblocked, and sane.

But here's what makes this role different: we don't just want someone to run the system. We want someone who improves it. If you see a manual process that could be automated, a workflow that could be smarter, or a dashboard that should exist but doesn't — we want you to build it. We use Fibery, Slack, Google Workspace, and AI tools (Claude, n8n) daily, and we expect this role to get more leveraged over time, not less.

Things move fast here. Priorities shift. "Quick asks" happen. The right person thrives in that — moving pieces around, staying cool, and keeping everyone else feeling calm and supported.

## What You'll Be Doing

### Daily Production Management
- Own the 30,000-foot view of everything in production across all clients — always knowing what's in flight, what's next, and what might go off track
- Build and manage production schedules for all creative assets (video, static, carousel, GIF, UGC, iterations — we produce 15+ creative types)
- Process and route final deliverables every day — downloading completed work, organizing assets, and ensuring everything is stored correctly in shared drives
- QC briefs before they hit production — catching missing specs, inconsistencies, or anything that'll cause rework downstream

### Team & Contractor Coordination
- Create and assign tasks to editors, designers, and contractors in Fibery — matching the right person to the right project based on skill, availability, and turnaround
- Directly manage a production team of 4–7 people (mix of internal and contract creatives across US, Latin American, and Indian time zones), including daily work assignments, revision routing, and deadline management
- Manage external contractor relationships — onboarding new contractors, tracking weekly hour caps, and maintaining quality standards

### Capacity & Communication
- Monitor team capacity in real time — proactively flagging when we're maxed out and making sure leadership knows what's possible before they commit
- Lead weekly production syncs to align priorities, surface risks, and keep the team on the same page
- Be the person we go to when something urgent drops — shifting priorities, reassigning work, solving for fast-turn requests without chaos

### Systems, Automation & Process Ownership
- Take full ownership of our production systems (Fibery workflows, project templates, asset management) — keeping them clean, organized, and actually useful
- **Identify and build automations** that reduce manual work — whether that's Fibery automations, Slack notifications, AI-assisted brief QC, or capacity dashboards you design yourself
- Set up new client onboarding from the ops side — building Drive folder structures, configuring project templates, pulling brand assets
- Continuously improve how we work — not just by refining processes, but by building tools that make those processes faster or unnecessary

## What We're Looking For

- 2+ years in production management, traffic management, or creative operations — agency experience preferred but not required
- Strong experience with project management tools (Fibery, Asana, Monday, ClickUp, or similar) — you should be a power user, not just a task-checker
- You've coordinated creative people (editors, designers, contractors) across time zones
- Exceptional organizational skills — tracking 50+ projects across 14 clients without dropping balls
- Strong written English — you'll live in Slack and Fibery, and clarity is everything
- **Active, hands-on experience with AI tools** — you use Claude, ChatGPT, or similar to actually get work done (not just "open to AI"). Bonus if you've built automations with n8n, Zapier, Make, or similar platforms.
- Available to work 9 AM – 5 PM Eastern Time, Monday through Friday
- You stay calm when everything is on fire. That's the whole job some days.

## Nice to Have
- Experience in performance marketing or DTC advertising
- Familiarity with creative review tools ( ---------- or similar)
- Basic creative production skills (video editing, design) for triaging and gap-filling
- Experience building dashboards, reports, or internal tools for your team

## Details
- Full-time, fully remote
- Reports to the Partners
- Open to candidates worldwide
- Competitive salary based on experience and location
- We're a small team that punches way above our weight. If you like ownership, autonomy, and actually mattering — this is the place.
