We are a glass construction company based in Hawaii seeking a structured and experienced Construction Administrative Virtual Assistant to provide comprehensive operational support.
The successful candidate will manage communications, vendor procurement, HR and recruitment administration, payroll, and social media — all within a clearly defined and systematic work framework.
Position Responsibilities

- Provide HR and recruitment administration support — draft and publish job postings for field labor positions, screen applicants against defined criteria, conduct initial interviews, and present qualified candidates
- Execute vendor management processes — initiate supplier outreach, collect and compare quotations, document approvals, and maintain ongoing supplier records
- Administer payroll-related tasks — track and verify employee timesheets, process invoices, coordinate payment schedules
- Maintain organized and accurate records across Google Sheets (financial data, vendor lists, employee timesheets, lead tracking)
- Manage executive calendar — schedule meetings, coordinate logistics, issue reminders
Mandatory Requirements
- Background in the construction industry (administrative, coordination, or office management capacity) — non-negotiable
- Fluent English communication skills, written and verbal — non-negotiable
- Minimum 5 years of administrative or operations experience
- Demonstrated experience in vendor coordination, invoicing, or payroll administration
- Proficiency with Google Workspace — Gmail, Google Sheets, Google Meet
- Availability to work during Hawaii Standard Time business hours
- Home office with reliable internet connection (100 Mbps minimum)
Preferred Qualifications
- Prior experience in HR administration or recruitment support
- Familiarity with social media platforms and content posting
- High standard of accuracy and attention to detail in financial and vendor records
