Position Overview
This role is ideal for someone who loves clean books, strong systems, and persistent follow-up. You will manage weekly reconciliations, accounts receivable and payable tracking, invoice management, and vendor communication. You will also assist with occasional administrative follow-ups, including contacting government agencies regarding tax filings, certifications, or licenses.
This role requires someone who is organized, comfortable on the phone, and confident in communicating with government offices and vendors.

Key Responsibilities
Financial & Bookkeeping (Primary)
• Perform weekly bank and credit card reconciliations in QuickBooks
• Manage Accounts Receivable (A/R):
? Send invoices
? Track outstanding invoices
? Follow up persistently on overdue payments
• Manage Accounts Payable (A/P):
? Track vendor invoices
? Confirm payment status
? Maintain clean expense documentation
• Maintain organized financial records in Google Drive
• Support monthly reporting preparation for the CPA.
Administrative & Compliance Support
• Call official government offices to follow up on:
? Tax returns
? Certifications
? Business licenses
? Regulatory filings
• Follow up with vendors and contractors by phone and
• Track all communications and maintain documentation
• Maintain and update tracking spreadsheets
• Ensure deadlines are met and escalate issues proactively
• Issue 1099s annually
• Prepare books for tax filing and work with the CPA to meet tax deadlines.
Systems & Communication
• Track financial and operational follow-ups in CRM (Streak CRM experience a plus)
• Maintain organized communication threads in Gmail
• Coordinate with the team via Slack
• Maintain internal financial tracking sheets in Google Workspace

Required Qualifications
• Expert-level proficiency in QuickBooks (Online)
• Strong working knowledge of:
? Gmail
? Slack
? Google Workspace (Sheets, Docs, Drive)
? CRM systems (Streak CRM strongly preferred; other CRMs acceptable)
• Strong spreadsheet skills (Google Sheets)
• Excellent written and verbal communication skills
• Comfortable making professional phone calls, including to government agencies
• Strong follow-up discipline and documentation habits
• Highly organized and detail-oriented
• Self-directed and able to manage work independently in a remote environment
