About the Role
We are looking for a dependable, detail-oriented Virtual Assistant to provide dedicated selling support to two members of our Bullpen sales team. Our company operates in the promotional products and branded merchandise (swag) industry. You will act as the behind-the-scenes operational backbone, primarily handling order management and sales-administration tasks inside our core platform, commonsku.
This role is not client-facing at the start, but may evolve to include light client communication as you grow with the team. The goal is simple: keep the sales team focused on selling while you make sure every order, quote, and follow-up runs smoothly and accurately.
Key Responsibilities
- Create, update, and manage purchase orders (POs), sales orders, and production timelines inside commonsku
- Accurately enter and maintain customer data, product details, artwork, and order specifications
- Track orders from quote ? PO ? production ? delivery; proactively follow up with suppliers/vendors
- Prepare and format quotes, order confirmations, and supporting documents
- Keep CRM records clean and up-to-date; run basic sales reports when requested
- Handle day-to-day sales admin
- Assist with product research, supplier sourcing, or any ad-hoc requests from the two supported sales reps
- Help document and improve repeatable processes to make the Bullpen team more efficient
Required Skills & Qualifications
- 1+ years of experience as a Virtual Assistant, sales support, order processor, or administrative assistant
- Strong familiarity with order-management or CRM platforms (experience with commonsku is a big plus, but we will provide full training)
- Excellent written and spoken English
- Extremely detail-oriented with strong organizational and multitasking skills
- Proficient in Microsoft 365
- Reliable high-speed internet, quiet workspace, and a modern computer setup
- Self-motivated, proactive, and comfortable working independently with minimal daily supervision
- Ability to work in a US time-zone overlap
Preferred (but not required)
- Previous experience in the promotional products, branded merchandise, or e-commerce/swag industry
- Comfortable transitioning into occasional client-facing tasks
