POSITION OVERVIEW

Position: Virtual Assistant (Full-Time)
Location: Remote (Philippines-based preferred)
Schedule: 40 hours/week, Monday-Friday
Required Overlap: 3-4 hours with US Eastern business hours (9 AM - 5 PM ET)
Start Date: ASAP with paid 1-week trial period
Salary: $800-1,100 USD/month + 13th month bonus

ABOUT THE EMPLOYER

I'm Edwin Wu, a physician and entrepreneur building WedgeKit, a startup validation platform. I need a reliable, detail-oriented virtual assistant to take ownership of five critical business areas. This is a long-term position for someone ready to grow with the business.

KEY RESPONSIBILITIES (5 MAIN AREAS)
=============================================================================
AREA 1: SOCIAL MEDIA MANAGEMENT
- Set up and manage WedgeKit brand accounts on:
- Schedule and publish content using Metricool across all platforms
- Monitor engagement, respond to comments and DMs
- Create basic graphics using Canva (templates provided)
- Track and report on ad performance weekly
- Grow follower base through organic engagement strategies
AREA 2: MEDICAL LICENSE ADMINISTRATION
- Maintain master tracker of all active US state licenses with renewal dates, CE requirements, and status
- Set up renewal reminders (90+ days before expiration)
- Communicate with US Healthcare Licensing (Amy Weber's team) via
- Coordinate renewals, follow up on pending items, relay questions
- Flag upcoming deadlines, missing documents, or issues
- Keep organized records in Google Drive
AREA 3: BOOKKEEPING - QUICKBOOKS ONLINE
- Set up QuickBooks Online from scratch: chart of accounts, bank/credit card connections, categories
- Categorize and reconcile transactions weekly
- Generate and send invoices as needed
- Track business expenses and receipts
- Prepare basic monthly financial summaries (P&L, expense breakdown)
- Coordinate with CPA/accountant at tax time
AREA 4: CALENDAR MANAGEMENT & APP COORDINATION
- Manage Google Calendar: schedule meetings, block clinical time, prevent conflicts
- Schedule and send invites for required monthly supervisory meetings with APPs (Advanced Practice Providers)
- Send meeting agendas and follow-up action items
- Handle rescheduling across time zones
- Maintain tracker of state-specific supervisory requirements
- Track chart review completion per state per cycle
- Correspond with APPs for routine administrative matters
- Keep organized records of reviews, meeting notes, correspondence in Google Drive
AREA 5: TELEMEDICINE SCHEDULE MANAGEMENT
- Manage availability and shift schedule across multiple telemedicine platforms
- Prevent double-booking by cross-referencing schedules and syncing with master calendar
- Pick up, drop, or swap shifts as directed
- Communicate with platform scheduling teams when needed
- Track platform-specific requirements (credentialing status, deadlines, minimum hours)
- Provide weekly schedule summary every Monday

MUST-HAVE REQUIREMENTS

- 3+ years experience as a virtual assistant or in a similar administrative role
- Hands-on experience with QuickBooks Online (setup and daily use)
- Experience managing social media accounts for a business (not just personal)
- Excellent written English - you'll
- Highly organized with strong attention to detail (compliance deadlines are critical)
- Experience with calendar management and scheduling across multiple platforms/time zones
- Comfortable corresponding with healthcare professionals in a professional tone
- Available for at least 3-4 hours overlap with US Eastern business hours
- Reliable internet connection and own computer

- QuickBooks ProAdvisor certification
- Experience with Meta Business Manager and ad account setup
- Familiarity with US healthcare licensing, credentialing, or physician supervision

- Experience with telemedicine platforms or healthcare scheduling systems
- Startup or entrepreneurial experience
