Virtual Assistant – Marketing & Operations Support

About the Business
I am the owner of a pediatric sleep consulting business serving families with children ages 0–10. My work includes private coaching, workshops, digital resources, and educational content. The business is established, systems-driven, and growth-focused.
I am seeking a detail-oriented, proactive Virtual Assistant to support marketing execution, content publishing, research, and backend operations.
This is primarily an execution role. Strategic input is welcome within your area of expertise, but strong implementation skills are essential.
This role may expand over time based on performance, business growth, and demonstrated strengths, ideally growing into a long-term position within the company.
Position Structure
20–40 hours per month
Remote
Flexible hours
Must distribute hours across the week
Must respond within 24 business hours
Occasional (weekly or biweekly) live check-in calls required.

Core Responsibilities
1. Social Media Management
Use a custom GPT provided by me to generate monthly draft content
Populate and maintain the internal social media content calendar
Review output for:
Awareness months
Important dates
Brand alignment
Errors or inconsistencies
Tag me for approval before publishing
Create branded graphics in Canva
Schedule and publish to:
Instagram
Facebook
LinkedIn
Monitor basic engagement and flag items needing response
2. Blog Management
Format and publish blog posts
Maintain blog calendar
Ensure readability and formatting accuracy
Coordinate internal linking where appropriate

Format and schedule newsletters in Flodesk.
Ensure links, segmentation, and formatting are correct.

4. Research &
Research potential workshop venues and aligned partnerships
Identify podcasts and online publications
Submit podcast pitches and article submissions
Maintain an organized outreach tracking system
(No phone outreach required.)
5. Operations & Administrative Support
Assistance with various steps of Pediatrician Referral Partner workflows
Assistance with various steps of Client workflows
HoneyBook cleanup and workflow maintenance
Lead follow-up
Transferring client notes to Honeybook
Backend organization and database updates
Various operational tasks as needed
6. Special Projects (As Needed)
Rebranding or updating client-facing documents
Updating materials to reflect new brand standards
Assisting with acquisition-related integration tasks
Other marketing or operational projects as assigned
Required Skills
HoneyBook experience
Canva proficiency
Email
Google Workspace
Meta Business Suite or similar scheduling tools
Strong written English
