Cold Email Outreach VA
~10 hrs/week

THE ROLE

We're a UK-based WordPress support company launching cold email outreach to generate B2B leads. We need a detail-oriented VA to manage the day-to-day operations: monitoring campaigns in Instantly, keeping deliverability healthy across 12 mailboxes, building and verifying prospect lists, categorising replies, and keeping our CRM accurate.

Strategy, copywriting, and sequence design are already handled. You own the execution and data quality. The founder and others handle analysis and reporting, so this is a focused, operational role.

OUR STACK

This is exactly what you will be working with:

Instantly - Cold email sending, warmup, deliverability monitoring, and B2B lead finding. This is the tool you'll live in.
HubSpot CRM - Sales pipeline for interested leads. You'll update deal stages and log interactions.
Also used - ---------- (project management), Wappalyzer (WordPress verification), Google Sheets (data cleaning and list prep), Google Docs (reports).

You may also need to work with:
---------- - Secondary B2B prospecting and lead enrichment. May become primary lead source.
Reoon - Email verification before lists go into campaigns.

WHAT WE NEED FROM YOU

- Hands-on Instantly experience (required). You've managed mailboxes, monitored warmup and deliverability, uploaded lists, and categorised replies in Instantly before.
- Deliverability knowledge (required). You understand SPF, DKIM, DMARC, bounce rates, and spam complaints well enough to spot problems before they escalate.
- Strong Google Sheets skills (required). Filtering, deduplication, VLOOKUP, data cleaning.
- Email verification experience (required). You know the difference between valid, catch-all, risky, and invalid, and what to do with each.
- HubSpot CRM experience (preferred). Our sales pipeline runs on HubSpot. You'll be updating deal stages and logging lead interactions, not building complex automations.
- Meticulous attention to detail (critical). A bad list upload or missed deliverability drop burns domains that take weeks to recover. If you're the type of person who receives an email with five questions and only answers three of them, this role is not a good fit. We need someone who reads everything thoroughly and responds completely.
- English C1 or above (required). Written English must be clear and professional. You will be categorising English-language replies, writing brief daily reports, and communicating with the founder. Comfort working alongside AI tools (Claude, ChatGPT) is also expected.
