Ice Cold Spice is an independent e-commerce brand operating on Shopify and selling to the UK market. This role offers the opportunity to grow practical skills in website operations, stock management, and digital marketing within a scaling e-commerce business. You’ll work hands-on with a live Shopify store and directly influence how products are presented.
You’ll also have the opportunity to make a real difference in a growing startup while learning through structured training and direct collaboration with the Founder, who has 10+ years’ experience working with some of the biggest brands in the UK. You'll be joining a small team, alongside 2 other VA's, who currently work Monday-Friday for the business. You will be treated with kindness and respect. Philippine public holidays are observed however the total weekly commitment remains 8 hours. Where a public holiday falls on a scheduled workday, those hours may be worked on an alternative day by prior agreement.
What We’re Looking For
You are a reliable, detail-oriented Virtual Assistant who takes care with all administrative tasks. You are happy to complete repetitive work. You are a self-starter, able to take initiative, and always check your work before submitting. You are a logical thinker, and have a positive, “can do” attitude even when approaching tasks you’ve never done before. You enjoy learning on the job and are genuinely interested in the world of ecommerce. Please note this role is operations led, and does not currently include customer service.
You’re comfortable working across multiple tools and systems. Clear, professional written and verbal communication in English language is essential. No spelling mistakes, no broken grammar. Core Responsibilities
Your primary responsibilities will involve following SOPs for all recurring operational tasks, including:
• Uploading, editing, and maintaining products
• Managing images, optimising with AI tools where required
• Merchandising, creating new collections pages and internal linking
• Writing, reviewing, and optimising product titles and descriptions
• Monitoring supplier stock levels and updating availability in the Shopify store
• Conducting UK-focused competitor and price research using a VPN
• Performing site-walks, flagging and fixing data inconsistencies
• Maintaining high visual standards and overall site hygiene
• Researching and writing SEO optimised blog posts with support from AI tools
Secondary Responsibilities
You may also support with:
• Creating social media posts using Canva, and scheduling using Buffer
• Raising orders with suppliers
• Proactively identifying and flagging process improvement opportunities
Additional Responsibilities
As the business grows, responsibilities may expand or change over time. Any updates to responsibilities or scope will be communicated in advance, with guidance or training provided where appropriate.
Working Hours, Availability & Communication
You will work a fixed 4 hours on Saturday and 4 hours on Sunday. During this time, you must be dedicated to Ice Cold Spice and must not work on tasks or projects for other companies. Occasionally, overtime is offered in advance.
Weekly tasks and priorities will be set out in advance. Any changes to the schedule or workload will be communicated via Slack and on a shared project library. If you log in for your agreed working hours and have not received a new update or instruction, you are expected to apply yourself proactively, follow SOPs, and continue with assigned tasks using your own initiative where reasonable.
Training & Support
You will be given access to training provided as Loom videos. These materials are designed to support consistency and clarity, but the role requires someone who can operate independently once trained. Once onboarded, communication will take place via Slack and quarterly check-in calls. All working time must be tracked using Hubstaff, and you will report directly to the Founder. All required system logins and tools will be provided.
Essential Requirements
• Prior, hands-on experience working with Shopify
• Good working knowledge of Excel or spreadsheet tools
• Excellent written and verbal English
• Comfortable learning tools via Loom training videos
• Ability to work independently and take initiative
• Reliable laptop or desktop (Windows or macOS) with at least 8GB RAM
• Fast, stable broadband internet (minimum 20 Mbps download / 5 Mbps upload, higher speeds preferred). Ability to provide a recent internet speed test screenshot and ISP details.
• Backup internet option (e.g. mobile hotspot)
• Quiet, professional workspace
• Working webcam
• Reasonable power backup solution
• Reliable VPN with UK endpoints
Desirable Requirements
• You already have an AI subscription to a tool such as Gemini, Claude, or ChatGPT
• Comfortable using Canva to create digital marketing ads and resize images
Trial Period
This role will begin with a 1-month trial period to ensure the role is a good fit for both you and the business. Performance, communication, reliability, and adherence to agreed working hours and processes will be reviewed during this time.
Successful completion of the trial will lead to continuation in this long-term role.
Pay Review
After 12 months, there will be an opportunity for a pay review, based on performance and the scope of responsibilities at that time.
Interview Process & Start Date
Shortlisted applicants will be contacted for a 30-minute video interview to meet the company founder. This interview is also an opportunity for you to ask any questions about the role and the business.
