POSITION SUMMARY
The Digital Collaboration Specialist supports the organization’s internal collaboration and knowledge management systems by maintaining SharePoint sites, building automated workflows, and developing visually consistent internal materials. This role helps ensure company resources, documentation, and tools are organized, accessible, and easy for teams to use. Working cross-functionally with multiple departments, the Digital Collaboration Specialist coordinates the collection and structuring of internal resources, supports the development of SharePoint pages and Power Automate workflows, and creates branded presentation templates and visual assets. The role plays an important part in improving operational efficiency by helping teams centralize information, streamline processes, and maintain consistent communication materials. This position requires a combination of technical proficiency, visual design capability, and strong organizational skills, with a focus on enabling teams to access the tools and information they need to work effectively.
OBJECTIVES
• Support the design, development, and maintenance of SharePoint sites to ensure internal resources are organized, accessible, and easy for teams to navigate.
• Build and maintain automated workflows using Power Automate to streamline operational processes and reduce manual administrative tasks.
• Create visually polished slide decks and presentation materials that align with company branding and communication standards.
• Develop and maintain presentation templates, style guides, and visual assets to promote consistency across internal communications and documentation.
• Coordinate with cross-functional teams to gather, organize, and centralize company resources, ensuring information is accurately documented and easily accessible.
• Maintain structured documentation of shared resources within SharePoint and other internal platforms to ensure information remains current and reliable.
• Monitor usage and collect feedback from internal stakeholders to support ongoing improvements to SharePoint sites, workflows, and internal documentation tools.
• Assist in identifying opportunities to improve efficiency through better use of digital tools, documentation, and automated processes.
COMPETENCIES
• High attention to detail, with a focus on quality control and consistency in branding, formatting, and content delivery.
• Skilled in creating standardized templates and assets that can be leveraged across the organization.
• Demonstrated proficiency with Microsoft SharePoint, Microsoft Office (PowerPoint, Word, Excel), and visual design tools such as Canva.
• Ability to produce clear, accurate documentation and visual content that simplifies complex information for diverse teams.
• Strong business acumen with the ability to understand operational priorities and translate them into effective solutions.
• Thorough grasp of company principles, frameworks, and messaging, with the ability to translate them into clear, engaging training content and internal communications that reinforce alignment and learning.

EDUCATION AND EXPERIENCE
• Bachelor’s degree in Business, Communications, or a related field preferred, or equivalent professional experience in administrative, operations, or content.
• Prior experience supporting internal systems, content development, or process documentation in a fast-paced, cross-functional environment is a plus.
PHYSICAL REQUIREMENTS
• Prolonged periods sitting at a desk and working on a computer.
