We are a U.S.-based oral and maxillofacial surgery practice seeking an exceptional Dental Phone Support Specialist to serve as the voice of our practice. You will handle inbound calls, appointment scheduling, and call routing for a patient population that includes older adults and individuals who may be anxious about surgical procedures.
This is not a sales role. It is an inbound-only position that demands clear English, a calm and reassuring phone presence, and genuine empathy. You will be the first point of contact for patients, referring dental offices, and clinical staff — and we hold that responsibility to the highest standard.
WHY THIS ROLE MATTERS:
Our phone specialist is the face of the practice. Patients often call us during stressful
KEY RESPONSIBILITIES:
• Answer inbound calls promptly and professionally during all scheduled hours
• Assist new patients, existing patients, and referring dental offices with scheduling and inquiries
• Schedule appointments accurately in Archy (our practice management system — full training provided)
• Route calls appropriately to clinical staff when needed
• Escalate urgent or complex calls per established protocols
• Document all calls clearly and flag high-priority inquiries in a timely manner
• Communicate with the team via Slack and Google Workspace throughout the workday
• Use AI tools (e.g., ChatGPT, Claude, or similar) to assist with drafting responses, looking up information, and improving efficiency
ROLE EXCLUSIONS:
• No medical advice, diagnosis, or clinical opinions
• No treatment explanations beyond approved scripts
• No financial counseling, insurance negotiation, or case closing
• No improvisation outside documented workflows
REQUIRED QUALIFICATIONS:
• Dental office experience required — must understand dental terminology, common procedures, and the patient experience
• Inbound phone experience in a dental or medical environment
• Excellent spoken English with a neutral or very mild accent — patients must understand you easily on the first listen
• Available Monday–Friday, 8:00 AM – 5:00 PM U.S. Eastern Time (this corresponds to evening/overnight hours in the Philippines)
• Detail-oriented, process-driven, comfortable following scripts and protocols
• Baseline familiarity with AI tools (ChatGPT, Claude, Gemini, or similar) and willingness to integrate them into daily workflows
PREFERRED QUALIFICATIONS:
• Oral surgery, dental implant, or maxillofacial experience
• Licensed dentist, dental hygienist, or dental assistant credentials
• Experience speaking with older or anxious patients
• Familiarity with practice management systems, EHR platforms, or scheduling software
• Experience with Slack, Google Workspace, or similar collaboration tools
• Demonstrated ability to use AI tools for work tasks
COMPENSATION & SCHEDULE:
Up to $12/hour USD (~$2,080/month), based on experience. Full-time, remote. Monday–Friday, 8:00 AM – 5:00 PM U.S. Eastern Time. No nights, no weekends. Paid training period (1–2 weeks).
