We are a growing, owner-operated business in the St. Louis area operating three revenue streams — auto repair, auto sales, and vehicle rentals. We're building out a small but reliable remote team to keep the financial, administrative, and operational side of the business running smoothly.
About the Role:
This is a hybrid role combining bookkeeping, administrative support, and light operations assistance. We're looking for someone detail-oriented and self-sufficient who can own financial tracking and reporting while also supporting day-to-day business operations.
This position starts part-time (20 hours/week) with a clear path to full-time as the business grows. We will be transparent about this from the start — the right person will grow with us.
You must already know QuickBooks Online. We will not be training on the software itself. The owner will train you on our specific chart of accounts, category structure, and internal tools (TekMetric, AutoManager). Everything else — QBO, accounting principles, data entry — you need to bring with you.
Tools You'll Be Working In:
QuickBooks Online — primary bookkeeping tool (must be proficient, 3–5 years experience required)
TekMetric — auto repair shop management system (training provided)
AutoManager — desktop-based dealer management system (training provided)
Slack — primary team communication platform (must have an active account)
WhatsApp — for calls and direct communication with the team
Wise — how you'll receive your monthly pay
What You'll Be Doing
Bookkeeping & Financial Statements (QuickBooks Online)
Maintain up-to-date Income Statement, Balance Sheet, and Statement of Cash Flow across
3 revenue streams
Reconcile bank statements within QBO using the owner's established category structure
Parts & Vendor Management (TekMetric)
Verify that ordered parts are received in TekMetric
Track parts returned for credit and confirm credits are applied
Reconcile TekMetric's Parts Purchased report against vendor statements
Accounts Payable
Process vendor bill payments on a regular cycle
Ensure all vendors are paid accurately and on time
Payroll
Run weekly payroll for the owner and two staff members
Tax & Compliance Filing
File monthly sales tax for the repair business with Missouri Dept of Revenue
File monthly sales report with the State of Missouri
Submit quarterly Tire/Battery Tax (State of MO)
Remit annual sales tax for the rental business
Track sales tax due on lease payments and daily rentals (Turo excluded)
Auto Sales System (AutoManager)
Remote login to owner's PC to keep car/lease payments updated as they come in
Administrative & Operations Support
General admin tasks within TekMetric as needed
Market research on daily rental car inventory and pricing
Assist with car sourcing research when clients request vehicle purchases
Support the VA and broader team with administrative tasks as needed
Requirements
3–5 years of QuickBooks Online experience — required, no exceptions
Solid understanding of core accounting principles: income/expense tracking, balance sheet
(assets/liabilities = equity), and bank reconciliation
Strong administrative and organizational skills
Resourceful and able to take on varied tasks beyond bookkeeping
Must have an active Slack account and be comfortable using it daily
Must have WhatsApp for calls and team communication
Able to meet recurring deadlines independently without follow-up
Clear written and verbal communication in English
Reliable internet connection
Nice to Haves
Experience with Missouri state tax filings
Background in auto repair, dealership, or service-based business
Familiarity with QuickBooks file setup and account transfers
Experience with market research or sourcing/procurement tasks
Type: Part-time (20 hrs/week | 9:00 AM – 1:00 PM CST), remote — with potential to grow into a full-time role
