JOB OVERVIEW

We are looking for a resourceful, high-output Administrative Assistant to serve as the operational right hand to our leadership team. This is not a passive support role. You will be directly involved in client and employee communications, proposal development, CRM management, data entry across multiple platforms, and daily coordination across every function of the business. You will touch nearly every tool in our tech stack and be expected to learn fast, work independently, and keep things moving.

Responsibilities
Client and Employee Communications

Draft, send, and manage email correspondence with clients, prospects, employees, and vendors on behalf of leadership
Communicate directly with Account Managers and field staff regarding scheduling, onboarding, supply needs, and account updates

Handle inbound inquiries professionally and route them appropriately
Support client onboarding touchpoints including 24-hour, 7-day, and ---------- day check-ins

Proposals, Documents, and Presentations

Assist in preparing client proposals, RFP responses, and service agreements using Qwilr, Google Docs, Canva, and Microsoft Word
Build and format pitch decks, one-pagers, onboarding packets, and internal documentation
Proofread, edit, and quality-check all outbound materials before delivery
Maintain organized templates and asset libraries for recurring deliverables

CRM, Data Entry, and Systems Management

Manage and update records in GoHighLevel including leads, pipeline stages, contact records, and campaign data
Enter and maintain data
Log and track sales activity, walkthrough submissions, and account status changes
Maintain clean, accurate data across all platforms -- no loose ends

Operations and Scheduling Support

Coordinate scheduling and staffing logistics
Assist with supply orders, vendor communication, and equipment tracking
Support onboarding documentation for new client accounts and new hires through BambooHR and internal checklists
Help manage background check submissions through C4 Operations

General Administrative Support

Manage leadership calendars, meeting scheduling, and follow-ups
Organize and maintain Google Drive file structures
Research vendors, gather quotes, and compile comparison documents
Handle ad hoc projects including report generation, data cleanup, and process documentation

Required Qualifications

At least 2 years of experience as a Virtual Assistant or Administrative Assistant in a fast-paced environment
Excellent written and spoken English -- you will be communicating directly with clients and employees
Proficiency in Google Workspace (Gmail, Docs, Sheets, Drive, Calendar)
Experience with CRM platforms (GoHighLevel or similar)
Highly organized with strong attention to detail and the ability to manage multiple priorities simultaneously
Reliable internet connection and a professional home office setup
Available to work US business hours (Eastern Time)

Compensation and Details

Full-time (40 hours/week)
