We are seeking an experienced Virtual Assistant to handle construction administration, allowing our Project Managers to focus on site and technical work. You will support projects from pre-construction through to CCC and the 12-month maintenance period.
Key Responsibilities :
Maintain project data (HUB, GJ 5.0) and organise digital job files
Prepare and file construction documents (reports, approvals, variations, H&S, etc.)
Lodge and track utility applications and follow up with providers/subcontractors
Prepare and submit CCC applications, track inspections, and maintain status logs
Monitor and follow up outstanding documentation (e.g. PS3/PS4, insurances)
Manage 12-month maintenance requests, assign tasks, and track completion
Assist with H&S admin and maintain accurate records
Provide weekly admin reports (CCC, maintenance, outstanding items)
Requirements :
Excellent English communication (written and spoken)
Strong admin experience (construction/property preferred)
Highly organised, detail-oriented, able to manage multiple projects
Proficient in Google Workspace, spreadsheets, and CRM systems
Knowledge of NZ council processes is a plus (training can be provided)
Available to overlap with NZ business hours

Note
This is a non-technical role focused on admin, coordination, and follow-ups. The goal is to become a key admin support across projects, CCCs, and maintenance.
