JOB OVERVIEW

Position Overview:
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support executive leadership and assist with daily administrative, financial, and client-facing operations. This role requires excellent communication skills, sound judgment, and the ability to manage multiple priorities while maintaining confidentiality. You must be able to work 9AM-5PM EST. Have access to a computer and headset with reliable wifi.

Key Responsibilities:

Generate and print billing reports daily for tax returns with accuracy and attention to detail.
Create a monthly billing report from PracticeCS and submit it to headquarters in PDF format by the 5th of each month.
Review invoice pricing and distribute details to the administrative team at headquarters in a timely manner.
Identify and follow up on non-monthly billing clients by asking questions and clarifying billing needs.
Prepare monthly Accounts Receivable reports showing outstanding balances.
Coordinate with headquarters administration to facilitate collection of outstanding receivables.
Monitor and respond to sales inquiries submitted through the company website.
Prepare and provide accurate quotes to prospective customers based on company pricing guidelines.
Respond to client comments and requests within Verifyle, ensuring timely communication and follow-up.
Assign documents and tax returns to appropriate staff members within Verifyle.
Delegate bookkeeping and tax-related tasks to offshore tea ---------- mbers via email, ensuring clarity and timeliness.
Manage and respond to the CEO’s email correspondence as directed.
Monitor the CEO’s inbox and proactively notify them of accounts payable matters and other priority items.
Maintain clear and professional communication with internal teams, offshore staff, and external clients.
Support general administrative tasks and provide executive support as needed.

Qualifications:

Strong organizational and time management skills with the ability to prioritize tasks effectively.
Excellent written and verbal communication abilities.
High level of discretion and ability to handle confidential information.
Detail-oriented with strong accuracy and follow-through.
Proficiency in Microsoft Office and ability to learn new software platforms quickly.

Preferred Skills:

Experience in an executive assistant or administrative support role.
Familiarity with billing systems, bookkeeping, or tax-related processes.
Experience working with PracticeCS or similar accounting software.
Experience with document management systems (e.g., Verifyle).
Experience coordinating with remote or offshore teams.
Customer service or sales support experience.
