ABOUT US
We are a U.S.-based commercial interior construction subcontractor and General Contractor operating across multiple states on the East Coast. We work across six divisions covering high-rise, retail fit-out, retail refresh, public/government, interior GC, and maintenance work. We are growing and need a disciplined data operator to manage our bid pipeline with precision.
HARD REQUIREMENTS — NON-NEGOTIABLE
You will NOT be considered if you cannot prove all of the following:
Minimum 5 years of CRM data entry experience with verifiable employer references
Hands-on monday CRM experience — must be able to name the company you used it at, what you built, and how long you used it
Hands-on PlanHub experience — must have used the platform as a subcontractor or estimator, not just heard of it
Construction industry background — minimum 2 years at a subcontractor, general contractor, supplier, estimating firm, or related construction company
Excellent written English — your application is your writing sample
Internet speed minimum 50 Mbps with backup power solution

HARD SKILLS — YOU MUST BE A GURU AT
DATA ENTRY — Years of high-volume data entry experience with measurable accuracy. We are not interested in candidates who claim to be "detail-oriented." We want proof.
MONDAY CRM — Building boards, columns, groups, dashboards, locked dropdowns, automations, mandatory fields, role-based permissions. If you have only watched a tutorial, you are not qualified.
MULTIPLE CRM PLATFORMS — Real working experience in at least 2 of the following: Salesforce, HubSpot, Pipedrive, Zoho, Airtable, Notion, Apollo, Freshsales, GoHighLevel.
PLANHUB — Real subcontractor-side experience. You must know how to receive ITB notifications, pull project details, download plans and documents, navigate notification settings, and understand the PlanHub workflow from start to finish.
CONSTRUCTION TERMINOLOGY — You must be fluent in standard construction language used by subcontractors, general contractors, owners, architects, and developers across commercial and public sector projects. We will test you on this during screening.
MAJOR PLUS — WILL MOVE YOU TO THE TOP
Experience with BuildingConnected, ConstructConnect, iSqFt, or Procore
Experience with Apollo, ZoomInfo, RocketReach
Experience with
2+ years working U.S. Eastern Time previously
Prior role at a commercial subcontractor (Division 9 or interior trades preferred)

THE DAILY WORKFLOW — 5 STEPS PER ITB
Every Invitation to Bid (ITB) that comes through your inbox follows the same 5-step process. You will execute these steps for every ITB, every day.
Step 1 — RECEIVE THE ITB
ITBs arrive from PlanHub, BuildingConnected, ConstructConnect, Procore, and direct
Step 2 — INPUT INTO MONDAY CRM
Enter the ITB into our master bid board in monday CRM. Every required field must be populated correctly the first time: project name, GC, location, bid due date, scope, building use, square footage, construction type, plan link, and original
Step 3 — ADD TO THE BID CALENDAR
Log the ITB onto our bid calendar. The internal due date is always 2 days before the actual bid due date — this is a hard rule. Calendar alerts must be set so the team has visibility into every upcoming deadline.
Step 4 — CREATE THE ESTIMATE SHEET
Create the estimate sheet for the assigned estimator with all project details, scope notes, plan links, and required documents organized and ready. The estimator should be able to pick it up and start work immediately.
Step 5 — CREATE THE CALL SHEET
Build the call sheet entry for the assigned caller. Every call sheet entry includes: company name, contact first name, direct phone number, division, and a one-line reason to call. The caller picks it up at 5:00 PM and dials the next morning.
The faster and cleaner you execute this 5-step process for every ITB, the more value you bring to the team.
DAILY OPERATING RHYTHM
9:00 AM — Check-in
Throughout the day — Real-time intake and processing of every ITB through the 5-step workflow
5:00 PM — End-of-day report covering all ITBs processed, anything flagged, and anything pending review
Maintain data discipline all day — no blank required fields, no duplicate entries, no wrong-format dates
