The Role
We are looking for a highly organised, proactive, and reliable Project Coordinator to ensure our projects are properly set up, clearly structured, and consistently moving forward.
This is not a routine admin role — it requires strong thinking, organisation, and ownership.
You will act as a central coordination point across multiple projects, making sure:
- nothing is missed
- communication is timely
- projects are always clear and up to date

Key Responsibilities
1. Client Communication (High Priority)
- Ensure all client
- Follow up internally to ensure responses are completed
- Draft clear, professional

2. Project Setup & Quality Control
- Ensure every project is properly set up at the start
- Check that key elements are in place:
- Product brief
- Treatment overview
- Clear milestones and timelines
- Quality control gateways
- Work with Project Managers to ensure consistency and completeness

3. Project Oversight (ClickUp)
- Ensure every project clearly shows:
- next actions
- assigned owners
- deadlines
- Monitor projects to ensure ClickUp reflects reality
- Flag missing information, gaps, or unclear steps
(Project Managers maintain their projects — your role is to ensure clarity and consistency.)

4. Daily Coordination & Follow-Up
- Track progress across multiple projects
- Follow up on overdue or unclear tasks
- Flag risks or delays early
- Help move projects forward by prompting next steps

5. Supporting Project Delivery
- Help initiate workstreams (e.g. ensuring designers are briefed and ready to start)
- Support drafting of basic briefs or coordination materials
- Ensure smooth handovers between stages and tea

Working Hours
- Based in the Philippines (remote)
- Working hours should include at least 3–4 hours overlap with Central European Time (CET)
- Preferred schedule: approximately 13:00–21:00 (PH time)
- You will help ensure projects and communications are prepared for the next working day

- No client
- Every project is properly set up and clearly structured
- All projects have clear next steps at all times
- Delays are identified early and addressed
- Project Managers spend less time on coordination and more time on high-value work

Requirements
- Excellent written and spoken English
- Strong organisational and time management skills
- High attention to detail
- Confident following up with tea
- Comfortable using tools such as ClickUp, Slack, and Google Drive
- Able to manage multiple projects at once
